We’re expanding our Talent Acquisition (TA) team and looking for a Virtual Assistant who’s organized, proactive, and passionate about recruitment operations and people systems.
About the Role
As a Recruitment / TA Virtual Assistant, you’ll play a key role in managing both internal hiring and client placements. You’ll be responsible for sourcing, screening, and conducting first-round interviews to identify top talent across a variety of roles.
This role requires someone with exceptional communication, flexibility, and organizational skills who thrives in a dynamic, fast-paced environment. You’ll ensure pipelines are updated, candidates are engaged professionally, and every recruitment cycle runs efficiently from sourcing to placement.
What You’ll Do:
Manage and maintain candidate pipelines across Airtable and Workable
Source candidates across LinkedIn, OnlineJobs.ph, Upwork, Indeed, and other recruitment platforms
Conduct initial screening interviews and prepare evaluation notes for next rounds
Coordinate and schedule interviews with hiring managers or clients
Handle client placement requests from sourcing to shortlist submission
Maintain 100% CRM hygiene — tagging, notes, and progress updates
Prepare weekly recruitment and placement reports for internal tracking
Document and refine internal SOPs to streamline and scale processes
What We’re Looking For:
2+ years of experience as a VA in recruitment, HR tech, or B2B hiring support
Proven experience using Airtable, Workable, and major job boards (LinkedIn, OnlineJobs.ph, Upwork, Indeed)
Strong understanding of sourcing, screening, and interview coordination
Excellent written and verbal communication skills in English
Highly organized, detail-oriented, and able to handle multiple roles simultaneously
Flexible and proactive — capable of delivering results within 24 hours when needed
Nice to Have:
Experience in a recruitment agency or HR SaaS company
Familiarity with AI tools (ChatGPT, Claude, Jasper) for writing or process optimization
Basic Canva or Figma skills for documentation or internal presentations
Key Performance Indicators (KPIs):
100% CRM accuracy — no duplicates, complete tagging, and updated notes
3+ sourcing or outreach campaigns per week
24-hour turnaround on key deliverables and reports
Consistent, professional candidate communication and client updates
