We’re a Vancouver-based ADHD clinic and we’re hiring a Remote Admin & Member Support Specialist to support our small group of ~25 ongoing members and our Clinic Director.
* Schedule: Night shift (10pm to 6:30am PHT) Wed-Sun
* Pay: Php $30,000 - $35,000
* Remote role supporting our daytime team in Vancouver Canada (PST Time Zone)
* No sales, no cold calling – just structured, member-facing admin work
What You’ll Do:
* Answer member calls (about 5 calls per day at most) and handle detailed questions kindly and clearly.
* Reply to member inquiries via phone and
* Manage appointments between members and clinicians in our scheduling system.
* Ensure documentation is complete – disclosures, disclaimers, agreements, and records kept accurate and up to date.
* Investigate “what went wrong” when there’s an issue, and suggest fixes to the Director.
What Success Looks Like:
* Members feel taken care of and don’t have to chase us for answers.
* Calendars and records match reality (correct appointments, forms completed).
* When something breaks, you can clearly explain what happened, where, and how to prevent it next time.
You’ll Be a Good Fit If…
* You’re detail-oriented, calm, and organized.
* You like member-facing communication and behind-the-scenes documentation.
* You’re comfortable with tools like Google Docs, spreadsheets, task boards (Monday/etc.),
* You enjoy checklists, documenting steps, and closing loops.
* Bonus: experience in clinic/healthcare admin or with tools like Jane (EHR).
To be considered for this role, you should:
* Have **at least 3 years** of experience in admin, customer support, or office coordination.
* Be comfortable handling calls and written communication in clear, professional English.
* Be experienced with online tools such as Google Sheets and at least one task system (e.g., Monday, ClickUp, CRM, or similar).
* Include the term erors somewhere in your initial message to show attention to detail.
* Have a stable work history and not just many short-term roles.
