The Opportunity
We’re seeking a versatile Executive Assistant with Marketing Experience to support our Founder with both administrative and marketing operations tasks. You’ll help manage projects, organize deliverables, and keep daily operations running smoothly.
We’ll start small — around 5 hours per week — to establish trust, rhythm, and alignment. As the business and your capacity grow, this role can expand up to 15–20 hours/week with increased responsibilities and pay.
This position is ideal for someone who thrives in structure, communicates clearly, and enjoys both organization and light marketing work.
What You’ll Be Doing
Administrative Support
* Manage the Founder’s calendar and priorities (ensure meetings and tasks are prepared in advance)
* Create and assign clear tasks for the Creative VA with deadlines and context
* Track deliverables to make sure client campaigns and creative assets move forward
* Prepare materials, notes, and follow-ups for client calls or internal meetings
* Assist with client communication and follow-up
Marketing Operations
* Upload and manage
* Enable or schedule automation workflows as directed
* Maintain list health through regular tagging, cleanup, and segmentation (monthly)
* Review creative assets (graphics, posts, and
* Support basic GoHighLevel management and updates
Project Coordination
* Coordinate timelines and deliverables between the Creative VA and Founder
* Collaborate with freelance specialists for occasional technical or creative tasks
* Organize and document agency workflows and SOPs in Notion
* Provide status updates and follow-up reminders to ensure nothing slips through the cracks
What We’re Looking For
* 2+ years of experience as an Executive Assistant or Marketing Coordinator (agency experience preferred)
* Comfortable with marketing tools (GoHighLevel & ActiveCampaign)
* Excellent written and verbal English communication skills
* Highly organized and dependable — able to manage multiple moving parts without supervision
* Tech-savvy: familiar with Notion, Google Drive, and Asana
* Proactive problem-solver who anticipates needs and takes initiative
* Available to work during U.S. hours (9PM–6AM PH time)
* Willing to start part-time with the goal of growing into a larger role
