Role Overview:
I’m looking for an amazing, detail-oriented Executive Assistant to help bring order and flow to my busy world so I can stay fully in my zone of genius. This is a full-time role for someone who thrives in managing calendars, executing flawless communication, organizing systems, and ensuring nothing falls through the cracks. You’ll be my right hand in coordinating meetings and travel, tracking projects and ideas, keeping my inbox in top shape, managing ClickUp and collaboration with the team, and supporting the execution of key initiatives, including podcast production, marketing tasks, and high-touch client interactions. Requirements:
*Must be able to work 9am-5pm Mountain Time (US)
*Must be able to work 40 hours weekly
*Must have extensive experience with executive assistance or any similar role
*Must have EXCELLENT written and verbal communication skills
*Must have EXCELLENT attention to detail
*Must be super organized
*Detail-oriented with a commitment to quality control

What You’ll Do:
Executive Assistance:
*Own and manage my calendar: schedule meetings, block deep work time, prep materials and call links
*Coordinate travel logistics for events or speaking engagements (flights, lodging, itineraries)
*Send reminders for deliverables, prep times, or meetings I must attend or prepare for
*Capture and track my ideas and action steps in ClickUp or Slack
*Receive and input to-dos fro
*Track timelines, deliverables, and ensure recurring tasks (weekly check-ins, podcast prep, coaching reminders) are visible and on track
*Monitor and manage my inbox daily, keeping it clean, organized, and up-to-date
*Flag urgent items and escalate messages that require my direct attention
*Draft, send, and follow up on professional correspondence with clients, partners, and collaborators
*Reconnect with past contacts and follow up on previous meetings (including calls dating back to January)
*Track all outreach efforts and ensure consistent, timely follow-ups
*Ensure Slack messages and calendar invites don’t go unnoticed or overdue
Administrative Support:
*Keep ClickUp updated with my tasks, due dates, and relevant status updates
*Follow up with tea
*Help coordinate cross-functional priorities that flow fro
*Maintain and organize my digital files, SOPs, media, and documents (Google Drive, Dropbox)
*Support podcast production logistics: scheduling guests, gathering bios/photos, coordinating with producers
*Track my marketing to-dos (e.g., video recordings, quotes, interviews) to ensure completion
*Assist with light community management as needed
*Help prepare outlines, scripts, transcripts, or presentation materials when requested
*Support the team in staying on track with action items fro
*Assist in documenting or nudging forward projects I oversee, especially when I can’t be in every meeting
