JOB OVERVIEW

We’re looking for a highly organized, detail-oriented Executive Assistant to support the CEO of a fast-growing digital marketing agency. This role blends traditional executive support with financial coordination and operational management.

You’ll handle day-to-day administrative tasks, manage the CEO’s calendar and communication, and take ownership of basic financial operations — including expense tracking, subscription management, and coordination with the accounting team.

The ideal candidate is proactive, numbers-oriented, and takes pride in keeping the CEO’s world organized, efficient, and running smoothly.


Key Responsibilities:

Executive & Administrative Support
- Manage CEO’s daily calendar, meetings, and travel arrangements
- Coordinate communication between CEO, internal team, and external partners
- Organize files, SOPs, and dashboards across Google Drive and ClickUp
- Draft, proofread, and send internal/external correspondence

Financial Administration
- Maintain accurate expense tracking and categorization across business and personal accounts
- Collect, organize, and store receipts weekly in shared Google Drive folders
- Track subscriptions, recurring bills, and payment schedules
- Prepare weekly finance summaries with cash balances, credit card totals, and upcoming payments
- Record invoices and contractor payments in Google Sheets or QuickBooks
- Coordinate with accountants and tax strategists to ensure timely reporting and quarterly filings
- Assist with budget maintenance, reimbursements, and financial reporting


Operations & Coordination
- Post and manage job listings, schedule interviews, and onboard new hires
- Support CEO in system building and process documentation
- Follow up with internal tea ---------- mbers to ensure projects and deliverables stay on track

Skills & Requirements
- Strong financial literacy and data accuracy (experience with QuickBooks, Wave, or Google Sheets a plus)
- Excellent English communication skills (written & verbal)
- Highly organized with strong attention to detail
- Comfortable handling sensitive financial information with confidentiality
- Proactive problem-solver who can anticipate needs and take initiative
- Familiar with Google Workspace, Slack, and project management tools (ClickUp, Asana, or similar)
- Available to work U.S. business hours (at least 4 overlap hours daily)

Preferred Experience
- 2+ years of experience as an Executive Assistant, Operations Assistant, or Finance Coordinator
- Experience supporting U.S.-based executives or agencies
- Proven ability to manage recurring financial tasks and reporting
