We are seeking a highly skilled, motivated and detail-oriented Medical Expert Administration Assistant to join our rapidly expanding technology firm in the personal injury space. The role serves as the backbone of accuracy and efficiency, ensuring the credentials of our recruited medical experts and the services they offer are impeccably maintained and updated. The role requires attention to detail in handling administrative tasks, updating accreditations, and keeping records up to date, which will not just prevent time-wasting errors but will also be instrumental in paving the way for smooth and rapid growth within our business.

You will have exceptional verbal and written English communication skills, fluent at a CEFR Level C1 or C2 (IELTS score of 8 or higher) preferred, along with a strong, reliable internet connection with a minimal download speed of 150 Mbps and a quiet private workspace.

This is a virtual full-time role, working Monday-Friday 9 am – 6pm, Australian EST, reporting to the Medical Expert Engagement and Coordination Manager.

Key Responsibilities:
• Prepare, edit, and distribute business documents, correspondence, and templates
• Maintain and update Medical Experts’ information and profiles across digital platforms, including email, CRM, CVs, and templates
• Organise and manage digital files, Dropbox folders, and registration documents.
• Verify professional registrations and credentials, ensuring accurate database entries
• Liaise with third-party providers, integrate workflows, and manage resources and locations within digital systems
• Oversee the creation and maintenance of specialist directories, report and invoice templates, and document uploads
• Track training requirements, update training records, and coordinate training sessions.
• Monitor and chase receipt of digital assets, ensuring up-to-date asset records
• Adjust templates, forms, and policies, maintaining accurate and compliant information in the CRM
• Schedule and manage meetings, appointments, onboarding, and bookings; activate automated communications as needed
• Provide comprehensive administrative and telephone support, ensuring efficient response to inquiries and effective internal communication

Qualifications and Requirements:
• Language Proficiency: High level of English fluency, CEFR Level C1 or C2 (IELTS 8+ preferred).
• Technical Requirements: Reliable internet connection with a minimum download speed of 150 Mbps.
• Quiet and private workspace

Skills and Experience:
• Proactive and flexible with strong experience in Administration and Customer Service
• Exceptional attention to detail, time management, and organisational abilities
• Excellent skills in Microsoft Office Suite (Word, Excel, Outlook), a CRM system (ideally Zoho), and other relevant software
• Ability to work independently and manage multiple priorities simultaneously
