Role Overview:
I’m looking for a highly organized, reliable, and resourceful GoHighLevel Virtual Assistant to help me with client management, scheduling, CRM organization, case tracking, and light marketing/outreach.
This role blends administrative support, CRM management, client service, and social media/outreach assistance. If you’re detail-oriented, tech-savvy, and love helping things run smoothly behind the scenes, you’ll be a perfect fit.
Requirements:
*Must be able to work 8am-12pm/1pm Central Time (US)
*Must be able to work 20 hours weekly
*Must have experience with administrative assistance or any similar role
*Must have experience with GoHighLevel or any other CRM platforms
*Must have EXCELLENT written and verbal communication skills
*Must have EXCELLENT attention to detail
*Must be tech-savvy and willing to learn new tools
*Must be reliable, proactive, and resourceful
*Must be super organized
*Detail-oriented with a commitment to quality control

What You’ll Do:
Outreach and Social Media Management
*Research and schedule local speaking events, networking opportunities, and business groups
*Call venues or organizers to inquire about and book speaking opportunities
*Coordinate with referral partners and maintain a referral tracking system
*Check in with referral partners and send thank-you cards or gift certificates as needed
*Manage outbound messaging to leads using pre-built
*Follow up with inbound and outbound leads using GoHighLevel
*Assist with light social media support and marketing mailers
Client & Appointment Management
*Schedule appointments and send intake forms using tools like Calendly
*Organize client data and update CRM with intake form details and meeting notes
*Transcribe notes from recordings and input into CRM
*Receive voice-to-text meeting recaps via
*Create new GoHighLevel sub-accounts when onboarding new agents
Case Management Support
*Track applications in progress using a visual pipeline board (GoHighLevel)
*Follow up with carriers or case managers for outstanding documentation
*Prepare draft messages for client updates and monitor case status
Client Service & Retention
*Monitor voi
*Retrieve policy details and documents from carrier portals
*Draft client responses for review and manage annual review reminders
*Call clients to check in and ensure client satisfaction
*Respond to questions from current, on-the-books clients
