JOB OVERVIEW

PMI Bluebonnet Realty is seeking an organized and tech-savvy Operations Administrator to provide essential administrative and operational support for our managed community associations. This role coordinates communications, supports Board and committee activities, manages essential documentation, and provides exceptional service to homeowners. The ideal candidate thrives in a fast-paced, multitasking environment, is highly responsive, and enjoys working collaboratively as part of a dynamic team.


Key Responsibilities:

Board and Membership Support:
• Assist in preparing agendas for Board and Membership meetings.
• Attend virtual meetings, accurately recording and formatting minutes.
• Track and manage timely completion of Board-directed tasks and follow-ups.
• Maintain a master calendar of deadlines, meetings, and election schedules.

Architectural Control Committee (ACC) Support:
• Process and track ACC (Architectural Review) applications following established community guidelines.
• Facilitate clear and timely communication between homeowners and ACC/Board members.
• Maintain organized digital files of applications, decisions, and related correspondence.
• Coordinate approval processes, ensuring consistency with community standards and governing documents.

Insurance and Vendor Coordination:
• Track and monitor association insurance policies and renewal deadlines.
• Coordinate scheduling, work orders, and communication with vendors.
• Maintain comprehensive vendor records, including insurance certificates, W-9 forms, and service agreements.

Homeowner Communication & Engagement:
• Serve as the initial point of contact for homeowner inquiries, escalating issues appropriately.
• Draft and distribute community notices, alerts, and updates in collaboration with management.
• Maintain and update HOA websites, portals, and homeowner contact databases.

General Operations:
• Organize and manage digital filing systems, including governing documents, compliance records, and meeting documentation.
• Support the execution of broadcast communications, surveys, and homeowner elections.
• Perform additional administrative duties to facilitate smooth and efficient community management operations.


Qualifications:

• Prior experience in an administrative support role and/or customer service
• Exceptional verbal, written, and reading comprehension skills.
• Strong organizational abilities and attention to detail, capable of managing multiple simultaneous priorities.
• Ability to work independently, reliably, and accountably in a remote environment.
• Proficiency in Google Workspace applications.
• Familiarity with HOA structures, ACC procedures, and the Texas Property Code is beneficial but not required.
