We are hiring an experienced Real Estate Virtual Assistant who understands the California real estate transaction process and can support active listings and escrows from contract to closing.
This role requires strong organization, attention to detail, and the ability to follow systems. You must be comfortable using Slack for daily communication and Trello for task and transaction management.
This is not an entry-level role.
Responsibilities:
Manage transaction files from contract to closing
Track escrow deadlines and contingency dates
Prepare, organize, and upload listing and escrow documents
Coordinate with escrow officers, lenders, and agents
Update CRM and shared folders accurately
Communicate daily via Slack
Manage tasks and timelines using Trello
Provide clear daily status updates
Follow instructions exactly and meet deadlines consistently
Requirements
Proven experience as a Real Estate Virtual Assistant
Familiar with California real estate transactions
Knowledge of escrow, disclosures, contingencies, and timelines
Required: Daily use of Slack and Trello
Strong organization and attention to detail
Clear written English communication
Ability to manage multiple transactions at once
Reliable internet and workstation
Experience with DocuSign, ZipForms, Glide, Skyslope, Follow Up Boss, or similar systems is a plus.

Work Schedule:
Full-time
Monday–Friday
Pacific Time hours. Overnight shift - Philippines Time
