JOB OVERVIEW

We’re looking for a reliable and detail-oriented Bookkeeping & Administrative Support Virtual Assistant with QuickBooks experience to support a growing business in the sustainability and recycling industry, which operates both consulting and brick-and-mortar services. This part-time role is essential for maintaining smooth and accurate financial operations while also providing general administrative support.

Part-time position(US evening hours)

Primary Responsibilities:

- Perform general bookkeeping tasks including data entries, ledger maintenance, and account balancing
- Record and manage daily financial transactions, including accounts payable and receivable.
- Reconcile bank statements and credit card accounts
- Generate financial reports, including profit and loss statements, and balance sheets.
- Assist with maintaining accurate and timely financial data to support our fractional CFO and internal staff
- Maintain Excel spreadsheets for tracking and reporting purposes
- Collaborate with the executive team to ensure proper integration of financial data from Zoho CRM for unified reporting.
- Ensure compliance with financial regulations by organizing and maintaining accurate records for audits and filings.


Additional Responsibilities (as needed):

- Enter and organize data in ZoHo CRM.
- Engage with company content on LinkedIn (e.g., liking/sharing posts from the company page)
- Assist in email organization and calendar scheduling for leadership.
- Provide general administrative support including follow-ups and event coordination


Qualifications:

- At least 1 year of bookkeeping experience (QuickBooks proficiency required)
- Familiarity with managing accounts, reconciliations, and generating reports
- Comfortable working with spreadsheets and financial tools
- Strong English communication skills (written and verbal)
- Organized, proactive, and detail-oriented
- Able to work independently and deliver accurate results
