We are seeking a highly motivated and detail-oriented Transaction Coordinator to join our growing real estate team.
This position will focus on transaction coordination and provide critical operational support to ensure the team’s success.
Key Responsibilities:
Manage Real Estate Transactions:
Oversee and coordinate the contract-to-close process for buyers and sellers to ensure all deadlines are met and documents are completed accurately.
Document Management:
Prepare, review, and organize all necessary real estate documents, including purchase agreements, disclosures, addenda, and closing statements.
Communication Hub:
Serve as the main point of contact between agents, clients, escrow companies, lenders, inspectors, and title companies to ensure a seamless transaction process.
Track Deadlines:
Monitor critical contract dates and contingencies (e.g., due diligence, inspections, financing, appraisal), and ensure timely completion of all tasks.
Compliance:
Ensure all transactions comply with state and brokerage regulations by submitting the required paperwork to the brokerage in a timely manner.
Client Support:
Provide consistent updates and guidance to clients throughout the escrow process, addressing questions and concerns promptly and professionally.
Coordinate Closings:
Schedule final walkthroughs, signings, and closings. Ensure all parties are informed and prepared.
System & CRM Management:
Maintain accurate records and update transaction management systems and CRMs with current information and milestones.
Problem-Solving:
Proactively identify potential issues and work with relevant parties to resolve them efficiently and professionally.
Support Agents:
Assist real estate agents with administrative tasks related to their transactions, enabling them to focus on sales and client relationships.
Qualifications:
Minimum of 5–10 years of experience in real estate, administrative support, or transaction coordination (preferred).
Extensive knowledge of residential real estate contracts, disclosures, and escrow processes.
Tech-Savvy:
Proficient in using real estate platforms and tools (e.g., DocuSign, Dotloop, Skyslope, Google Workspace, Microsoft Office).
Experience with CRM and transaction management systems (e.g., Follow Up Boss, KVCORE, Command, etc.).
Organizational Skills:
Exceptional attention to detail with the ability to manage multiple transactions and deadlines simultaneously.
Strong time management and prioritization skills.
Communication:
Excellent written and verbal communication skills.
Comfortable serving as a liaison between clients, agents, escrow officers, lenders, and title companies.
Customer Service:
Friendly, professional demeanor with a client-first mindset.
Ability to remain calm and solution-focused under pressure.
Compliance-Oriented:
Understanding of local and state real estate regulations.
Commitment to maintaining confidentiality and accuracy with sensitive information.
Self-Starter:
Proactive, dependable, and capable of working independently with minimal supervision.
