The Cal Agents Realty is seeking a highly motivated and results-driven Property Management Coordinator with a strong understanding of property management principles and practices to join our rapidly growing team. This is a unique opportunity to play a crucial role in the day-to-day operations of our property management department ensuring smooth and efficient management of our properties.
About the Role:
The Property Management Coordinator provides administrative and operational support to the Property Manager and assists in the day-to-day management of assigned properties. This role requires strong organizational skills, attention to detail, excellent communication, and a customer-service oriented approach.
Responsibilities:
Administrative Support:
Answer phone calls and
Maintain accurate records of tenant information, lease agreements, and property documents.
Prepare and send out notices (e.g., rent reminders, lease renewals).
Process invoices and payments.
Assist with budget preparation and tracking.
Schedule and coordinate property inspections and maintenance.
Tenant Relations:
Respond to tenant inquiries and requests in a timely and professional manner.
Assist with tenant move-in and move-out procedures.
Address tenant complaints and concerns.
Foster positive tenant relationships.
Property Operations:
Coordinate with vendors for property maintenance and repairs.
Monitor property condition and identify potential issues.
Ensure compliance with property regulations and safety standards.
Assist with property showings and lease signings.
Other:
Provide support to the Property Manager with various tasks and projects.
Maintain confidentiality of sensitive information.
Perform other duties as assigned.
Qualifications:
Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
1-2 years of experience in property management or administrative support role.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Knowledge of property management software is a plus.
Ability to work independently and as part of a team.
Customer service oriented with a positive attitude.
