Simple Financials is seeking a proactive and organized Administrative Assistant to support our Tax Division. This role is administrative in nature, focusing on facilitating smooth operations during tax season and beyond. You will assist with client communications, data management, and the coordination of tax-related administrative tasks. Availability during U.S. Central Time (CST) hours is required, with occasional flexibility for phone, Slack, and email communication.

The Ideal Candidate
We are looking for a highly organized, detail-oriented individual with strong communication and administrative skills. This role requires someone comfortable managing sensitive financial information and coordinating multiple tasks effectively. While prior tax experience is not mandatory, a willingness to learn and a proactive attitude are essential.

Responsibilities and Duties
Client Communication Support:
? Assist with email coordination and reminders for tax document submissions.
? Follow up with clients to ensure timely delivery of required documents.
Administrative Data Management:
? Maintain and update spreadsheets for client tax records and documentation tracking.
? Organize and file client communications and tax-related data.
? Provide comprehensive administrative support to the tax team, including scheduling meetings, managing calendars, and handling correspondence.
Tax Workflow Coordination:
? Assist in preparing and distributing tax-related schedules and timelines.
? Manage tax filing status records and track progress for individual and business clients.
Support Tax Team Operations:
? Coordinate internal meetings and maintain task lists for tax preparers.
? Support data entry and other administrative needs during tax season.
Process Improvement:
? Suggest and implement ways to streamline administrative workflows.
Miscellaneous Tasks:
? Perform other administrative tasks as assigned to support the department’s operational effectiveness.

Personal Characteristics
? Highly detail-oriented with excellent organizational skills.
? Self-directed and able to manage tasks with minimal supervision.
? Collaborative and supportive of team goals.
? Comfortable with feedback and committed to continuous improvement.
? Able to communicate effectively with clients and tea ---------- mbers.

Must-Have Skills
? Proficiency in managing spreadsheets (Google Sheets, Excel).
? Strong written and verbal communication skills.
? Basic knowledge of accounting or willingness to learn.
? Ability to handle confidential information responsibly.
? Experience working in team environments and maintaining clear documentation.

Compensation and Benefits
? Training and onboarding (first 3 months): $5 per hour.
? 4th to 12th month: $6 per hour.
? After the first year: Possible compensation increase based on performance.
? Health Insurance Reimbursement: $30/month for PhilHealth and SSS contributions.
? Paid Time Off: 15 days per year, starting from Day 1.
