OVERVIEW
We are currently looking for a high-capacity individual with experience in real estate transaction management in a concierge-style customer & agent care capacity as our Transaction Coordinator. The ideal candidate will be dependable, innovative, energetic, professional, and adaptable.
This person is someone who consistently is able to work well under pressure in a fast-paced environment and prioritize tasks, projects and meet deadlines. The desire to learn and grow is a must. This role, an extension of the Operations Team, will help support our agents and clients by continuously delivering value.

Duties and responsibilities include:
Assist with the transaction process from contract to close including but not limited to all client and vendor communication, deadline tracking, and deal input.
Act as liaison between real estate agents, clients, lawyers, and mortgage brokers during the process of a real estate sale and effectively manage the administrative tasks involved in closing a sale.
Responsible for all coordinating paperwork, auditing, and file completion
Responsible for updating our CRM with all clients and their transaction details
Maintain and manage sales and financial tracker.
Serve as the first point of contact in handling client transaction inquiries or concerns.
Assist with other team members and duties as assigned.
Maintain and continuously improve all team filing systems (contracts, legal, correspondences, etc.), transaction systems, and computer databases.
Prompt brokerage of agent commission disbursements to ensure agents are paid in a timely manner
QUALIFICATIONS
Previous Real Estate administration experience required
Minimum 2 years of working experience in office administration and supporting North American clients
Knowledge and understanding of USA real estate transaction process, forms, and paperwork is a plus
Ability to work independently with limited direction.
Demonstrates a mastery of systems, linking people, processes, and technology together purposefully and efficiently.
Strong verbal and written English communication skills
Have a high level of accountability and a commitment to growth.
Ability to multi-task and prioritize in a fast-paced environment.
Ability to manage a large volume of tasks and client requests.
Manage multiple deadlines with a sense of urgency and accuracy.
Strong analytical and problem-solving skills. Detail orientation is a must.
Some flexibility in schedule
Technological savvy, including knowledge of CRM systems, Google Business Suite
Microsoft Office Suite (Excel and Word), PDF editing, task management, and more.
Stable internet connection with reliable power and backup internet
Start in a part-time capacity from M-F 10 am to 2:30 pm EST (with unpaid 30-minute break) and starting at $10 USD/hour
