Your role
As a Virtual Assistant (Admin Support), you will:
• Assist with administrative tasks such as data entry, scheduling, and
• Maintain accurate client and prospect records in Xplan and Outlook, including capturing relevant information from
• Ensure all documents are accurately identified, filed, and kept up to date, using sound understanding of complex and detailed information to support effective filing.
• Prepare reports and support the creation of key documents—such as court submissions, correspondence, and letters —to assist in management decision-making.
• Monitor multiple inboxes to keep financial advisers across their tasks by organising
• Provide strategic support and innovative recommendations during the planning and implementation of marketing activities.
• Make recommendations to improve systems and processes.
• Maintain regular communication with our Australian counterparts to ensure timely work completion and seamless business operations.
• Perform to the best of his/her abilities all functions, duties and responsibilities to be assigned by Aeran in due course.
• Perform any other administrative or non-administrative duties as assigned by any of Aeran’s representatives from time to time through direct written order or by verbal assignment.
Qualifications & Skills We're Looking For:
• Proven Experience: A minimum of three years' experience in an Executive Assistant, Personal Assistant, or similar administrative role is highly desirable.
• Initiative: We need someone who can anticipate needs, act proactively, and take ownership of tasks without constant supervision.
• Attention to Detail: Meticulous and accurate in all tasks, especially with financial records and data.
• Resourcefulness: Ability to find solutions, research information effectively, and problem-solve independently.
• Strong Work Ethic: Dedicated, reliable, and committed to delivering high-quality work consistently.
• Communication: Excellent English communication skills. Consistently responsive and actively available throughout the workday
Additional requirements
• This role does not offer flexible working hours. You are required to work strictly during Australian business hours, which are Monday to Friday, from 6:00 AM to 3:00 PM Philippine Standard Time. This includes an unpaid meal break of 60 minutes for each full shift, or such other normal working hours as may be prescribed by Aeran from time to time.
• The initial contract will be valid for a period of six months, during which your performance will be evaluated. Renewal of the contract will be contingent upon the outcome of this assessment.
• This is a full-time remote position, requiring exclusivity (the candidate cannot engage in other freelance or employment commitments).
• You must be able to maintain a dedicated, distraction-free home office setup.
• We are not an agency, and this is a direct hire arrangement with our Australia based company. Any government-mandated contributions will be the candidate’s responsibility.
• Your home must be capable of supporting a stable internet connection of at least 50 Mbps, preferably fibre.
• Must be willing to take a pre-employment medical exam and willing to have a background check.

• Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) – latest versions
• Adobe Acrobat
• Xplan financial planning software – not required but an advantage
Remuneration
• Permanent work-from-home arrangement.
• This position offers a salary of Php 40,000 per month.
• The candidate is entitled to overtime pay after 6 months.
• The company will provide all the necessary hardware and software required for the role.
• An internet allowance will be provided by the company from day 1.
• Fixed weekends off.
• A total of 20 paid annual leave days is provided after 6 months
