Virtual Assistant — Personal Care Agency Operations

About Us
NoblePath is a Personal Care Agency providing personal care attendant (PCA/PSS) services to elderly adults and adults with physical disabilities across southern and central Maine. We're a lean, fast-moving operation, and we're looking for a reliable virtual assistant to help keep our administrative and coordination work running smoothly behind the scenes.
What You'll Do
This role supports the daily operations of a home care agency. Day to day, you'll be:

Referral coordination — Managing inbound and outbound referral communication with care coordinators and case managers, logging new referrals, and keeping our referral tracker current.

Inbox & phone management — Triaging email and calls (via our shared inbox / OpenPhone), responding to routine inquiries, and flagging items that need the manager's attention.

Scheduling support — Helping match personal care attendants to clients and keeping schedules organized and up to date.
Compliance tracking — Monitoring document expirations (certifications, background checks, trainings), EVV/visit records via Sandata, and following up to keep files audit-ready.

Onboarding support — Sending out onboarding packets to new hires, collecting and organizing paperwork, and tracking candidates through the hiring pipeline.

Client retention — Conducting periodic check-in calls and follow-ups using provided scripts, and logging outcomes.
Data entry & admin — Keeping trackers, spreadsheets, and records accurate and organized.

What We're Looking For

Strong written and verbal English; clear, warm, and professional communication
Highly organized and detail-oriented — you notice when something's missing or about to lapse
Comfortable with Google Workspace (Gmail, Sheets, Drive) and able to pick up new tools quickly
Self-directed and dependable in a remote setting
Discreet and trustworthy with sensitive client and staff information (HIPAA awareness a plus)
Available during U.S. Eastern business hours

Nice to Have

Prior experience with home care, home health, or a healthcare/social services setting
Familiarity with MaineCare, Medicaid waiver programs, EVV systems (e.g., Sandata), or PCA/PSS terminology
Experience with scheduling, billing, or CRM-style tracking tools
