JOB OVERVIEW

Virtual Assistant for Real Estate Business (Experience Preferred)

I’m looking for a motivated, detail-oriented, and friendly Virtual Assistant (VA) to join my growing real estate business and team. This role is perfect for someone who has experience working with real estate agents and understands CRM systems, lead follow-up, and transaction coordination. or someone who is proactive and ready to learn quickly.

The ideal VA will help me get organized, stay on track, and implement proven systems that top agents use to grow their businesses. I want someone who feels like a true team partner not just a task-doer who can bring ideas to the table and help me streamline operations.

Responsibilities:
• CRM (Lofty) organization and management
• Input and update leads, contacts, and notes
• Set reminders for follow-ups and key dates
• Track client birthdays (research, log in CRM, and set reminders)
• Lead management & communication
• Cold calls and SMS messaging (scripts can be provided)
• Appointment setting and follow-up with leads
Email marketing (Flodesk)
• Create and manage email campaigns
• Set up automated email sequences to nurture leads for 12+ months
• Keep email lists clean and organized
• Client relationship support
• Send birthday cards or set reminders for me to mail cards
• Coordinate personal touches to strengthen client relationships
• Listing & transaction coordination
• MLS input for new listings
• Assist with coordination during transactions (communicating timelines, scheduling, etc.)

Qualifications:
• Preferred: Experience with real estate CRMs (Lofty, KVCore, FollowUpBoss, etc.)
• Preferred: Knowledge of Flodesk or similar email marketing platforms
• Comfortable with outbound calls, appointment setting, and SMS follow-up
• Highly organized, self-motivated, and proactive with minimal supervision
• Friendly, professional, and confident in communication
• Strong attention to detail and willingness to learn new systems
