We’re looking for a Part-Time Admin Assistant who thrives on organization, loves keeping workflows tidy, and enjoys supporting a team of creative planners and coordinators. Your work will ensure our team has everything they need to give our clients an amazing experience.

Who We're Looking For:

You’re the type who lives for checking things off the list and getting systems in tip-top shape. You’ll play a key role behind the scenes, handling data entry, client onboarding setup, formatting internal documents, and generally making sure our team stays on track and organized.

You won’t interact directly with clients, but you will collaborate with our team across the US, ensuring that planners, designers, and coordinators have all the details and tools they need to work their magic.

Tasks/Projects/Skills:
- Set up new client projects in Notion, including timelines, vendor lists, and task boards.
- Input and maintain client data, project milestones, and vendor information across internal systems.
- Format and polish team-facing documents (budgets, timelines, checklists) so they’re organized and easy to follow.
- Keep our internal project tracking systems (Notion) updated and humming along.
- Support the team with data entry, document organization, and back-end workflows—all the stuff that keeps the business running smoothly.
- Occasionally assist with team travel research or vendor list updates.
- Be proactive in flagging missing info or bottlenecks (because we love when someone spots a problem before it becomes one!).

Position Requirements:
- Proficient in Notion (this is non-negotiable, you need to know your way around databases, templates, and task boards).
- Strong attention to detail—you’re the person who double-checks things and keeps it all neat.
- Comfortable with data entry, document formatting, and internal organization.
- Excellent communication skills in English (written and spoken) to interact clearly with our team.
- Available to work 10-15 hours per week with flexibility (some weeks may require more during peak seasons).
- Able to manage your own schedule but available for check-ins with our team (we’re based in CST).
- Tech-savvy and ready to learn any new tools we use.
- Reliable computer and internet connection.
