JOB POST — Operations Manager / Virtual Assistant
Real estate media VA + marketing VA · Part-time to full-time · Remote

I run two connected businesses and need a reliable, sharp, detail-driven Operations Manager to help run them day to day:
- Regalis Realty Media — real estate photo & video for agents. This is the main focus — most of your day-to-day work is here: booking shoots, managing and delivering media, and coordinating our photographers and editors.

- Growth Lab Media — marketing for local businesses. A smaller but growing part of the role: posting content, prospecting, and coordination.

This is a real operations role, not a "reply to emails when you feel like it" job. If you're organized, honest, use common sense, and show up on time every time, you'll do great here and grow with us. If you make excuses and go quiet when things get hard, please don't apply.

What you'll do
Mostly for Regalis Realty Media (your main focus):
- Own client and contractor communication (email + Slack).
- Book and schedule shoots and appointments in Aryeo.
- Manage media end to end** — organize files, run photo edits, deliver finished work.
- Coordinate our editors, photographers, and contractors in Slack.
- Prospect new clients using our prospecting and research methods and build our lead list.
- Cold call prospects (this comes in as we scale and set you up with a business phone number — you should be willing to do it).
- Post content on a content calendar for us.

For Growth Lab Media (growing part of the role):
- Book calls, shoots, and manage the pipeline in GoHighLevel.
- Post content on a content calendar for us and our clients.
- Prospect for new clientsand build our lead lists.
- Cold call prospects (this comes in as we scale and set you up with a business phone number — you should be willing to do it).

For both: keep me in the loop with clear daily/shift briefs.

The schedule — this is non-negotiable
The work runs in two daily blocks, and one of them is at night my time (US Eastern). You must be able to reliably work the hours we agree on — on time, every time, sharp. If you can't consistently work a US-time evening block, this role is not for you. (For the right person, these blocks fit a normal day in your timezone — we'll go over it.)

How we work (read carefully — these are the rules)
- You're paid for documented, tracked hours only. You'll use time-tracking software during every shift. Pay is based on your actual tracked work, not a flat number of hours on paper.

- Weekly recorded video calls. Every week we get on a call to go over anything you're stuck on and solve it together — and I send you the recording after. This means you always have support, and there's never a reason to sit on a problem.

- Communicate problems immediately.** If something breaks or you're blocked, you tell me right away — you do not go quiet, and you do not wait.

- When you're blocked, move on. If one task is stuck waiting on me or a fix, you move to the next task and keep working. You don't stop the whole day over one issue.

- Learn from Loom. Most training is short screen-recordings. You watch, take notes, and get it right — fast.
- Honesty, always. Own your mistakes. We build trust here; excuses and cover stories end the working relationship.

Who we're looking for
- Critical Thinking — this is the #1 requirement. You can think, problem-solve, and figure things out without being walked through every step.
- Reliable and punctual — you show up for your blocks, on time, consistently.
- Fluent across multiple platforms — you can navigate and switch between web tools without getting lost.
- A fast learner — you pick up a new tool from a short video and run with it.
- Proactive and communicative — you flag issues early and keep me informed.
- Excellent written English — clear, warm, professional.

## Experience you must have
- Booking and scheduling appointments
- Managing media and files
- Navigating multiple software platforms
- Prospecting / lead generation
- Willingness to cold call (as we scale)
- Willingness to post content on a content calendar
- Comfortable coordinating contractors in Slack

This role is NOT for you if…
- You can't reliably work the agreed hours, including the US-evening block.
- You won't use time-tracking software.
- You go quiet when there's a problem, or make excuses instead of solving.
- You need to be told every small step and can't use judgment.

Tools we'll train you on
Aryeo, Fotello, GoHighLevel, Google Workspace/Drive, ---------- , Slack, Claude, Higgsfield. (You don't need to know these already — but you must be able to learn them fast.)

Details & pay
- Part-time to start (~20 hrs/week), growing to full-time.
- Paid hourly for documented, tracked hours — rate: $7/hour .
- Begins with a short **paid trial** so we both see it's a fit.
