Virtual Assistant / Success Manager

StoicForge | Multi-Brand Ecommerce

We Need Someone Who Keeps the Machine Running
We're StoicForge - a growing ecommerce company running multiple brands in health, beauty, and personal care. We
have the products, the customers, and the creative team. What we need now is someone who makes sure nothing falls
through the cracks.

You'll be the backbone of our operations - managing tasks, tracking projects, organizing data, and making sure every
department stays on schedule.
What You'll Be Doing
Project & Task Management
- Manage and maintain our ClickUp workspace - tasks, deadlines, statuses, assignments
- Make sure every project moves through the pipeline on time
- Flag bottlenecks and blockers before they become problems
- Coordinate between departments - creative, operations, media buying

Data & Organization
- Maintain and update spreadsheets in Excel/Google Sheets
- Organize and manage files across Google Drive
- Create and update reports for the leadership team
- Track key metrics and keep data clean and accurate

Communication & Coordination
- Summarize meeting notes and create action items
- Coordinate schedules and deadlines across the team
- Handle day-to-day communication with vendors, creators, and partners
- Work directly with the ops manager and CEO on special projects

Process Improvement
- Identify inefficiencies and suggest better workflows
- Help build and document SOPs
- Set up automations where possible (Zapier, ClickUp)

StoicForge - Hiring

What You Need

Must have:
- 1+ years experience as a virtual assistant, project coordinator, or operations assistant
- Proficiency in ClickUp or JIRA
- Strong Excel / Google Sheets skills - formulas, formatting, data management
- Excellent English communication (written and verbal)
- Reliable internet connection
- Strong attention to detail

Nice to have:
- Experience in ecommerce or DTC brands
- Familiarity with Google Drive, Slack, Zapier
- Experience creating reports or dashboards

This is NOT for you if:
- You don't have experience with task management software
- You get bored doing repetitive tasks
- You're slow to respond and need constant follow-up
- You're not comfortable with spreadsheets and data
- You don't like a fast-moving, high-standards environment

Compensation
- Base: $500 - $700/month (depending on experience)
- Hours: Full-time, Monday - Friday (Philippine time)
- Monday Meeting Must be able to attend at 8:30 eastern time for 2 hours.
- Growth path: As the company grows, your role expands. We promote from within.
- Year End Bonuses
- 1 Week Holiday A Year
- 5 Sick Days A year
