Operations Analyst — Logistics, Tracking, Planning & Analytics
Every moving part, tracked. Every number, visible. Nothing falls through.
Remote | Full-Time | $5–$10/hour | U.S. Eastern business hours
About Us
We operate a portfolio of 12+ local home service brands across the U.S., plus a retail medical supply business with two physical locations and a national mail-in channel. Every brand generates leads, calls, jobs, orders, and money every day. Your job is to see all of it.
The Role
This is the nervous system of the operation. We are scaling, and scale without turbulence only happens when every moving piece is tracked, every handoff is clean, and every number is current. You build and maintain the complete, always-current picture of everything that needs to be done and everything that has been done — across every brand.
You will:
Own end-to-end tracking: lead source ? call ? booked job ? completed work ? money collected, for every brand
Build and maintain conversion tracking and attribution — GTM, GA4, and call tracking — so no lead is a mystery
Build and maintain the numbers dashboard — one live view of leads, jobs, revenue, and costs across every brand
Run operational logistics: order flows, processing pipelines, and handoffs between tea
Maintain the planning system: daily, weekly, and monthly goals, the build backlog, and weekly review reports
Build and manage follow-up sequences — every lead gets worked automatically until it closes or dies, no inquiry goes cold
Write and maintain SOPs — every recurring process gets documented so anyone on the team can run it
Produce weekly analytics: cost per lead per brand, close rates, revenue, and profitability
Flag turbulence early — when a number moves the wrong way, you catch it before the owner does
Requirements
Strong spreadsheet skills — formulas, pivot tables, and clean data structure are second nature
Detail-obsessed — you notice when one number out of a hundred is off, and it bothers you until you know why
Systems thinker — you turn a pile of moving parts into a documented, repeatable process
Highly organized with a logistics mindset — files, trackers, and pipelines stay named, current, and findable
Planning and productivity are your nature — you run your own day like a system: prioritized, scheduled, and finished
A clear communicator — written and verbal; your updates, reports, and handoffs need no follow-up question
Grasps marketing technicalities — or picks them up fast: how websites, landing pages, ad campaigns, and tracking fit together. You don't run the ads, but you have to understand the machine you're measuring.
Self-directed — you fill your own downtime with high-value work without being told
Tools You'll Work In
ClickUp — expert level required. Tasks, projects, and operational pipelines run through here.
Airtable — expert level required. The planning hub: goals, build backlog, and weekly reviews live here.
Claude (Anthropic's AI) — required. You work alongside AI daily — analysis, SOP drafting, report building, and problem-solving. You know how to get real output from it, not just ask it questions.
Google Analytics 4 + Google Tag Manager — conversion tracking and attribution across all brand sites. Know it or learn it fast.
Google Sheets — analysis, reconciliation, and reporting
GoHighLevel — pipeline and lead data across brands

One short paragraph: how would you track a customer from Google ad click to money collected — and which five numbers would you report weekly?
A sample of a spreadsheet, dashboard, or tracking system you've built (screenshots are fine — blur anything sensitive)
Applications without #2 will not be reviewed.
