About the Role
We’re looking for a highly organized, intelligent, and proactive Executive Assistant to support a U.S.-based founder across multiple businesses. You’ll sit in meetings, track next steps, manage communication, review invoices, and keep operations on track.
This is not a task-only VA role — it’s a thinking partner role for someone who wants to make their boss more effective, anticipate needs, and own outcomes.
???? Responsibilities
Join meetings, take detailed notes, and track all action items.
Follow up on next steps and make sure deadlines are met.
Review monthly bills, invoices, and vendor expenses (e.g., utilities, property, telecom).
Conduct expense analysis and recommend cost-saving options.
Manage the executive’s Outlook inbox and calendar — triage, summarize, and schedule.
Maintain organized digital files and folders (Google Drive).
Research vendors (e.g., inspectors, contractors) and summarize reports or proposals.
Coordinate ongoing property-related tasks — inspections, scheduling, reports, etc.
Communicate professionally with internal tea
Tools & Tech Skills
You must be proficient in:
Microsoft Word & Excel (formulas, formatting, basic analysis)
Microsoft Outlook
Slack (team communication)
QuickBooks (checking transactions, vendor reporting)
Google Drive / Docs / Sheets (filing and collaboration)
Bonus if you know: Notion, HubSpot, or similar tools.
Requirements
3+ years as a VA or Executive Assistant supporting U.S. executives.
Excellent spoken and written English.
Strong analytical and organizational skills.
Detail-oriented and able to anticipate needs.
Trustworthy, discreet, and dependable.
Comfortable managing both business and property-related projects.
