About the Role

We are seeking a high-performing, tech-savvy Executive Assistant (EA) to support the CEO in managing day-to-day communications, operations, and strategic initiatives. Working hours 9AM to 5PM EST.

This role goes beyond traditional executive support — it combines elements of marketing, sales enablement, and AI-powered productivity to ensure that all communications, workflows, and digital presence run seamlessly.

The ideal candidate is proactive, detail-oriented, and thrives in fast-paced, dynamic environments. You’ll be the CEO’s right hand in ensuring every interaction—internal or external—is polished, strategic, and aligned with company objectives.

Key Responsibilities
1. Executive Communications & Coordination

Manage and draft professional communication on behalf of the CEO across email, LinkedIn, and other social media channels.

Maintain and organize the CEO’s inbox, calendar, and meetings, ensuring prioritization and timely follow-up.

Prepare talking points, briefs, and summaries for meetings, presentations, and speaking engagements.

Ensure consistent, professional communication and alignment across all channels.

2. Marketing & Social Media Support

Assist in crafting and scheduling content for social media, especially LinkedIn and company pages.

Collaborate with the marketing team to align messaging with the company’s brand strategy and tone.

Track engagement analytics and recommend improvements for growth and visibility.

3. Sales & CRM Enablement

Manage and update CRM systems (e.g., HubSpot, Pipedrive, or Salesforce) to ensure all leads, contacts, and communications are properly tracked.

Coordinate follow-ups and maintain organized pipelines to support outreach and partnerships.

Prepare sales performance and KPI summaries for strategic decision-making.

4. AI & Automation for Efficiency

Use AI tools (e.g., ChatGPT, Notion AI, Zapier) to streamline administrative, communication, and research workflows.

Implement simple automations for recurring tasks such as scheduling, reporting, and data entry.

Continuously explore new tools that enhance productivity and communication impact.

5. Organization & Project Support

Support light project management tasks, ensuring timely progress updates and team coordination.

Keep documents, digital assets, and reports organized and accessible.

Prepare executive decks, proposals, and professional reports as needed.

Qualifications

3–5+ years of experience as an Executive Assistant, Operations Coordinator, or similar role supporting C-level executives.

Strong proficiency in modern digital and AI tools (e.g., ChatGPT, Notion, Airtable, Zapier).

Background in marketing, communications, or sales enablement is highly preferred.

Excellent English writing and communication skills.

Experienced with CRM platforms and social media management.

Highly organized, tech-savvy, and capable of managing multiple priorities with minimal supervision.

Reliable, professional, and committed to consistent 35-hour weekly availability.
