JOB OVERVIEW

MUST HAVE experience as an Executive Assistant.

This job might be for you if you enjoy:
• Handling all administrative support for the CEO including but not limited to: management of email communications, calendar, expense reports, travel arrangements, office supply orders, etc.
• Supporting the CEO, the Board of Directors and Board Committees, including scheduling Board meetings, preparing Board materials and minutes, hosting meetings, set up and clean up, etc.
• Securing and scheduling meetings with donors, colleagues, and other external constituents on behalf of the CEO.
• Acting as a liaison on behalf of the CEO with direct reports and Belong team members to ensure that priorities are met and projects are completed on time.

Additional Responsibilities include:
• Stewarding confidential information.
• Writing and editing correspondence for CEO, Board members, donors, community partners and other key stakeholders.
• Scheduling and preparing agendas for various recurring internal meetings and periodic planning meetings.
• Supporting CEO’s donor work by entering information into the fundraising database, tracking Board and other CEO portfolio results, prompting thank you calls, supporting stewardship activities and assist in conducting research prior to donor meetings and solicitations.
• Preparing annual CEO expense budgets and monitor associated variances on a monthly basis
• Independently oversee complex projects as needed.

Qualifications
• Outstanding interpersonal and communication skills; demonstrated ability to interact with diverse groups including high profile executives, board members, and staff.
• Proven ability to learn quickly and understand the 'how and why' of a fast-moving environment.
• Superb organizational skills and attention to detail.
• Experience coordinating simultaneous projects with seamless execution and excellent judgment.
• Resourcefulness, ingenuity, and exceptional problem-solving skills.
• Ability to protect confidential and proprietary information with discretion.
• Power user with all Microsoft Office applications; exceptional Word, Excel, PowerPoint and Outlook skills a must.
• Flexibility, sense of humor, and ability to thrive in a fast-paced deadline-driven environment.
• Strong desire to make a difference in the lives of others as part of a mission-driven organization.
• Ability to work flexible hours, including occasional evenings and weekends as needed.
• Seven to ten years of experience as an EA to senior executives.
