Tern, www.tern.travel/, is looking for a sharp, resourceful, and extremely detail-oriented Executive Assistant to help keep things running smoothly. This isn't a task-taker role. You'll be a force multiplier. Keeping calendars and inboxes in check, planning seamless travel, managing ops, and catching things before they fall through the cracks. You'll work directly with our COO/Co-founder (who travels frequently for sales, conferences, and investor meetings), but you'll also collaborate with teammates across the US and Philippines.
You'll need to make judgment calls, communicate clearly, and spot what matters before anyone has to say it. You don't need to be a travel nerd, but if you know how to manage a complex inbox and calendar full of internal requests, suppliers, prospects, and users, wrangle airline points, find better hotel deals than Google, and enjoy putting together an itinerary that just works, you'll feel right at home.
We're not looking for someone who wants to follow instructions. We're looking for someone who wants to level up a system.
What You'll Own
Calendar & Schedule Management:
-Own and defend the COO/Co-founder’s calendar, protecting deep work time while keeping things moving
-Develop context quickly so you know what can shift and what can't
-Coordinate across US and Philippines time zones without creating chaos
-Spot scheduling patterns and make things more efficient over time
-Prepare agendas, send follow-ups, and keep the right people looped in
Travel Planning & Logistics:
-Plan international and domestic travel with obsessive attention to detail
-Use points, rewards programs, and loyalty tools to maximize every booking
-Anticipate trip needs without being told; sometimes before the trip is on the calendar
-Handle real-time changes, rebookings, and logistics calmly and fast
-Pick up the phone and call a hotel, airline, or local provider when needed
Admin & Financial Workflows:
-Manage billing, expense tracking, vendor follow-ups, and reimbursements
-Keep subscriptions and recurring costs organized, nothing slips
-Support startup finance operations: receipts, invoice prep, card usage
Navigate our tool stack comfortably:
-Brex (corporate cards and expense management)
-Notion (company wiki, project tracking)
-Slack (primary async communication)
-Google Workspace (Docs, Sheets, Calendar, Drive)
-HubSpot (CRM, pipeline context)
AI-Assisted Operations:
-Use Claude and other AI tools as a daily force multiplier, not occasionally, but as a core part of how you work
-Help maintain and improve lightweight systems and automations across Tern's operations
-Research tools, build checklists and SOPs, and surface improvements without being asked

You Might Be a Fit If...
You've been a remote EA before (especially supporting a founder or exec) and know how to anticipate needs.
Your English is native-level. You write clearly, professionally, and comfortably in someone else's voice.
You're extremely organized and detail-obsessed. Calendar conflicts, receipt mismatches, or messy docs bug you.
You're already using AI to work faster and better, not learning it, living it.
You have a strong sense of ownership. You don't wait to be told, you figure it out through your own optimistic agency.
You've booked dozens of flights and hotels and know how to work the points game.
You're comfortable on calls, moving logistics, and operating with urgency.
You're based in the Philippines and available for meaningful overlap with US time zones (EST/CST preferred).
You take the work seriously, but not yourself. Easy to work with, not above a good GIF.
You're curious and coachable. You ask good questions, take feedback well, and are constantly looking to get better.
