Position: Executive Assistant
Company: Lead to Influence
Reports To: Chief Executive Officer (CEO)
Location: Remote
Schedule: Monday to Friday, 8:00am to 5:00 pm Guyana Time
Role Purpose
The Executive Business Assistant exists to multiply the effectiveness of the CEO and accelerate the execution of Lead to Influence's vision.
This role goes beyond providing administrative support. It is responsible for driving execution, supporting business growth, anticipating needs, solving problems before they arise, and ensuring the CEO can focus on high-value leadership activities.
The successful individual will think like an owner, execute like a leader, and consistently look for opportunities to improve the business, strengthen client relationships, and help LeadtoInfluence achieve its mission of developing leaders who transform organizations, communities, and nations.
Core Outcomes
The Executive Business Assistant is accountable for delivering the following outcomes:
• Increase the effectiveness and capacity of the CEO.
• Support the growth of workshops, conferences, corporate training, and coaching programmes.
• Ensure strategic projects and priorities are executed successfully.
• Deliver exceptional client and participant experiences.
• Improve operational systems, efficiency, and business processes.
• Strengthen the company's marketing and business development efforts.
• Protect the LeadtoInfluence’s brand through professional communication and execution.
Key Responsibilities
Executive Support
• Manage the CEO's calendar, priorities, meetings, and travel.
• Prepare agendas, presentations, reports, and meeting documentation.
• Track commitments, action items, and strategic priorities.
• Anticipate the CEO's needs and proactively resolve issues before they become obstacles.
Sales & Business Development
• Manage the sales pipeline and client follow-up process.
• Prepare proposals, quotations, and business presentations.
• Build relationships with prospective and existing clients.
• Support the successful promotion and registration of workshops, conferences, and leadership programmes.
Marketing & Brand Coordination
• Coordinate the execution of marketing campaigns and promotional activities.
• Ensure marketing calendars, content schedules, and communication plans are executed consistently.
• Monitor marketing activities and recommend improvements to increase engagement and lead generation.
Operations & Project Management
• Coordinate projects from planning through execution.
• Develop and maintain systems, trackers, and operating procedures.
• Monitor deadlines and ensure commitments are delivered on time.
• Identify opportunities to improve efficiency, productivity, and business performance.
Client Experience
• Coordinate client communication before, during, and after programmes.
• Ensure a professional and memorable experience for every client and participant.
• Support the successful delivery of training programmes, conferences, and events.
Administration & Business Support
• Maintain accurate business records and documentation.
• Support invoicing, basic bookkeeping, reporting, and administrative activities.
• Prepare meeting minutes, reports, and executive correspondence.
Performance Expectations
Success in this role is measured by outcomes rather than activity. The Executive Assistant is expected to demonstrate initiative, exercise sound judgment, anticipate business needs, solve problems proactively, and consistently contribute to the growth, efficiency, and long-term success of Lead to Influence.
Qualifications
• Degree or Diploma in Business Administration, Marketing, Communications, Management, or a related field.
• Minimum of three years' experience supporting senior leaders, business operations, sales, marketing, or project coordination.
• Excellent written and verbal communication skills.
• Strong organizational, planning, and project management abilities.
• High proficiency in Microsoft Office, Google Workspace, CRM platforms, and business productivity tools.
