JOB OVERVIEW

DeepSky is committed to results-oriented individuals who are ready to contribute to our mission of providing financial literacy to entrepreneurs in the US. We are currently hiring a Client Operations Coordinator to manage the flow of client communication and internal execution. If you're someone who can bring structure to a busy inbox, make decisions without waiting to be told, and take ownership of how things get done, consider joining our team.

This role sits at the center of the team. You'll be the first person to read incoming client messages, d ---------- what they actually need, turn those needs into tasks, and make sure those tasks get completed on time. You will be communicating directly with US-based clients on a daily basis.

This is not a traditional admin or support role. You'll be making real decisions about priority, escalation, and timing every day.

Your responsibilities will include, but are not limited to:

+ Client Communication & Task Flow:
Reading and acknowledging all incoming client messages in the shared inbox
Interpreting client requests and determining priority
Converting requests into clear, trackable tasks
Assigning tasks to the appropriate tea ---------- mbers and ensuring accountability

+ Execution & Follow-Through:
Tracking progress across multiple open client requests
Following up internally to ensure deadlines are met
Escalating early when something is at risk of delay
Ensuring no client issue is left without visibility, ownership, or a next step

+ Onboarding & Coordination:
Supporting new client onboarding by organizing information and tracking timelines
Coordinating across tea ---------- mbers to keep handoffs clean

+ Process Improvement:
Identifying bottlenecks in how work flows across the team
Suggesting and helping implement better internal systems over time

+About You:
You're organized, proactive, and comfortable making decisions even when information is incomplete. You communicate clearly and confidently in English with US-based clients in real time, both in writing and on calls. You're able to manage multiple open tasks at once and keep things moving without being told. You take ownership of outcomes, not just task completion. You have a basic understanding of financial concepts such as cash flow and P&L, but you're not expected to perform analysis. Detail-oriented and reliable, you're a quick learner who cares about doing things properly.

+Additional Requirement:
Please include your resume and answers to the two short questions below when you apply. We care about how you think, not how polished your writing is. Short, specific answers are better than long generic ones. Please write your own answers. We can tell when answers are written by AI, and we will exclude those applications. We will follow up on your answers during the interview.

1. Tell me about a recent week at your current or most recent job where things did not go to plan. What broke down, what did you do about it, and what would you do differently next time? Please use a real example. (3 to 5 sentences is enough.)

2. Three things land on your desk at 9am Monday morning. A long-time client asks a routine question they want answered by Wednesday. A newer client sends a vague message that suggests they're confused about something we delivered last week. A teammate Slacks you for urgent help reviewing materials before their 2pm client call today. You can only start with one. Which do you pick, and why? (2 to 3 sentences.)

Applications that do not include answers to both questions will automatically be excluded from consideration.

During the initial 3-month trial period, candidates will undergo educational and training sessions. Afterward, successful candidates will be offered full-time positions with comprehensive company benefits.

This position requires working U.S. Pacific Time business hours (9am to 6pm PT) to support our US-based clients and internal team. Please only apply if you are able and willing to work this schedule consistently. Flexibility outside of these hours is welcome, but core availability during PT business hours is mandatory.

+Success Metrics during the trial period:
All client messages acknowledged within 24 hours
All client requests converted into trackable tasks with clear ownership
No client issue left without visibility, ownership, or a next step
Demonstrated ability to prioritize independently across multiple competing requests
