1. Document Control & Management
Maintain and update project files including plans, permits, and specifications.
Ensure all project documentation is properly filed and accessible to relevant tea
Track revisions and ensure the latest versions of documents are distributed.
2. Project Scheduling & Coordination
Assist in creating and updating project timelines and construction schedules.
Coordinate meetings between project managers, site supervisors, and subcontractors.
Monitor key project milestones and alert relevant parties of upcoming deadlines.
3. Communication & Liaison
Act as a point of contact between the office and construction sites.
Relay messages, updates, and instructions between stakeholders.
Draft and distribute meeting minutes, progress reports, and site instructions.
4. Procurement & Inventory Tracking
Assist in ordering materials and equipment for job sites.
Track deliveries and ensure materials arrive on time and in good condition.
Maintain records of supplier quotes, purchase orders, and delivery dockets.
5. Compliance & Quality Assurance
Ensure all required permits and inspections are scheduled and documented.
Track compliance with building codes, safety regulations, and company policies.
Help prepare documentation for audits or inspections.
6. Budget & Cost Tracking Support
Assist project managers in tracking project expenses against budgets.
Record and reconcile subcontractor invoices and variations.
Help prepare financial reports or summaries for ongoing projects.
7. Subcontractor & Workforce Coordination
Maintain a register of subcontractors and their compliance documents (licenses, insurances, etc.).
Track site attendance and timesheets.
Coordinate induction and training sessions for new workers.
