We are a growing family-focused company dedicated to supporting families through trusted childcare, newborn care, sleep consulting, and household staffing services. As we continue to grow, we're looking for an organized, proactive, and detail-oriented Operations & Client Success Coordinator to become an integral part of our team.

This is much more than an administrative position. You'll work directly with the owner across multiple areas of the business and play a key role in daily operations, client support, caregiver recruitment, scheduling, onboarding, marketing, and helping us continue to grow.

Responsibilities:

Client & Customer Support
Respond to phone calls, emails, and text messages from prospective and current clients
Guide families through our services and answer questions
Follow up with inquiries and leads
Schedule consultations and appointments
Provide exceptional customer service throughout the client experience

Caregiver Recruitment & Onboarding
Review caregiver applications
Schedule and conduct virtual interviews with babysitters, nannies, newborn care specialists, and other caregivers
Evaluate candidates and document interview notes
Coordinate onboarding for approved caregivers
Collect employment paperwork and required documentation
Coordinate background checks and reference checks
Maintain organized caregiver profiles and records
Provide ongoing communication and support to caregivers

Scheduling & Operations
Assist with scheduling and staffing requests
Coordinate placements and communicate with both clients and caregivers
Track caregiver availability and booking details
Help resolve scheduling changes and last-minute requests
Prepare contracts, invoices, and administrative documents
Maintain organized spreadsheets, databases, and internal systems
Help improve workflows and operational processes
Brainstorm ideas and assist with projects that help grow the business

Marketing & Communication
Create and schedule email campaigns using Mailchimp
Assist with newsletters and client communications
Help maintain marketing materials and templates
Support social media and other marketing initiatives as needed
Technology Support (Bonus)
Communicate with our development team regarding bugs, feature requests, and platform improvements when needed
Test new website features and provide feedback
Assist with basic website updates if comfortable

Experience working with websites or technology teams is a bonus, but not required. We're happy to teach the right person.

General Administrative Support
Maintain organized digital files
Track projects, deadlines, and follow-ups
Prepare documents and agreements
Assist with special projects as assigned
Help keep daily operations running smoothly across all areas of the business


Qualifications

Required Skills
Excellent communication and interpersonal skills
Strong organizational and time management abilities
Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
Microsoft Office
Experience with Mailchimp
Comfortable learning new software and systems

Preferred (But Not Required)
Experience with recruiting, interviewing, or staffing
Customer service or client success experience
Experience onboarding employees or contractors
Familiarity with CRM or project management software (Airtable, ClickUp, Asana, Trello, ---------- , etc.)
Experience with DocuSign or similar platforms
Experience working with websites or communicating with a development team
