Administrative Assistant to the Chief Operations Officer (COO)
We are seeking a highly organized, proactive, and resourceful **Administrative Assistant** to provide executive-level support to the Chief Operations Officer (COO). This individual must be a quick learner with excellent problem-solving abilities, capable of making sound decisions with limited information while managing multiple priorities in a fast-paced environment.
The Administrative Assistant will serve as a key liaison between the COO and various departments across the organization, ensuring effective communication, organization, and execution of daily operations. The ideal candidate is detail-oriented, adaptable, and able to work independently with minimal supervision.
Key Responsibilities
* Provide high-level administrative support to the Chief Operations Officer.
* Serve as the primary liaison between the COO and internal departments.
* Coordinate calendars, meetings, appointments, and follow-up tasks.
* Manage multiple projects, deadlines, and priorities simultaneously while maintaining accuracy and efficiency.
* Exercise independent judgment to resolve administrative issues and operational challenges.
* Assist with CRM management, data entry, reporting, and workflow organization.
* Answer and manage phone calls professionally, providing exceptional customer service.
* Prepare documents, reports, spreadsheets, and presentations as needed.
* Maintain confidentiality when handling sensitive company and client information.
* Anticipate the COO's needs and proactively identify opportunities to improve efficiency.
Qualifications
* Previous experience as an Executive Assistant, Administrative Assistant, Operations Assistant, or similar role.
* Excellent organizational, time management, and multitasking skills.
* Strong problem-solving abilities with the confidence to make independent decisions.
* Experience using a Customer Relationship Management (CRM) platform is required.
* Experience with **GoHighLevel** is highly preferred.
* Experience with **credit repair software** (such as Credit Repair Cloud or similar platforms) is a plus.
* Strong written and verbal communication skills.
* Professional and confident phone etiquette.
* Proficient with Microsoft Office, Google Workspace, and other common business software.
* Ability to quickly learn new systems and processes.
* Must be fluent in English.
