About the Business:
GoRecruit is partnering with a boutique Australian physiotherapy and clinical Pilates studio known for blending evidence-based physiotherapy with tailored, results-driven programs. The studio has built its reputation on a warm, professional client experience and a genuine community feel — and is now looking for an Administrative VA to help protect that experience as they grow.
About the Role:
This is a 20-hour-per-week engagement supporting the Director and clinical team by taking full ownership of day-to-day administrative operations. You'll manage reception and client communication, own scheduling within the studio's practice management system, keep records accurate, and provide light support across reporting, marketing assets, and ad hoc admin. It's a role for someone who works independently, uses sound judgment, and knows when to escalate — not someone who needs constant direction.
What You'll Own:
Answering calls and responding to client
Acting as first point of contact for prospective and existing clients, representing the brand and tone accurately
Managing bookings, cancellations, and rescheduling through the practice management system
Sending appointment confirmations and reminders to reduce no-shows
Maintaining accurate, up-to-date client records
Preparing documents, spreadsheets, and reports in Word and Excel
Organising files across Google Drive and Google Workspace
Supporting invoicing and other ad hoc administrative tasks
Assisting with simple marketing and social media assets in Canva
Identifying process gaps and proactively flagging risks or recurring issues
What You'll Bring:
1–3 years' experience in a Virtual Assistant, administration, or reception role
Demonstrated ability to work independently and own tasks with minimal supervision
Strong written and spoken English communication skills
A warm, professional phone and
Confidence using Google Workspace, Microsoft Excel, and Microsoft Word
Experience with Canva and practice management software (e.g. Cliniko or similar) is highly regarded but not essential
Strong reasoning skills to navigate nuanced or conversational client interactions
Reliable high-speed internet and a dedicated home workspace
