JOB OVERVIEW

About the Role
I am seeking a highly organized, detail-oriented Clinical Associate to work directly with the Clinical Director in supporting the delivery of high-quality ABA services. This is not a typical administrative assistant role. You'll function as an extension of the Clinical Director, helping manage clinical workflows, maintain documentation quality, coordinate with families and funders, and ensure treatment recommendations are carried through from assessment to implementation.
This role is ideal for someone pursuing a BCBA, an experienced RBT with exceptional writing skills, or someone with strong ABA clinical knowledge who enjoys organization, problem-solving, and process improvement.

Responsibilities
Draft and assist with writing individualized ABA treatment goals and objectives.
Review treatment plans, supervision notes, parent training notes, and other clinical documentation for quality, accuracy, and compliance.
Identify missing information, inconsistencies, and opportunities for improvement before documentation is finalized.
Track authorizations and complete follow-up with insurance companies regarding pending requests, amendments, denials, and approvals.
Coordinate and schedule caregiver meetings, clinical consultations, and supervision sessions.
Attend supervision meetings alongside the Clinical Director to:
Take detailed notes.
Document action items.
Track follow-up tasks.
Ensure accountability on assigned objectives.
Maintain authorization trackers, clinician task lists, and project timelines.
Assist with developing treatment recommendations, behavior intervention plans, and other clinical resources.
Communicate professionally with caregivers, BCBAs, insurance representatives, and internal tea ---------- mbers.
Help streamline clinical processes and improve operational efficiency across the organization.
Perform additional clinical and administrative projects as assigned.
Qualifications

Required
Experience working in ABA.
Excellent written and verbal English skills.
Exceptional attention to detail.
Strong organizational and time management skills.
Ability to manage multiple priorities in a fast-paced environment.
Comfortable working independently with minimal supervision.
Proficiency with Google Workspace.

Preferred
Experience writing or reviewing ABA treatment plans.
Familiarity with insurance authorization processes.
Experience scheduling and coordinating clinical services.
Knowledge of ABA practice management software.

Ideal Candidate
We're looking for someone who:
Thinks proactively instead of waiting to be told what to do.
Enjoys improving systems and solving problems.
Has excellent clinical judgment and writing ability.
Is comfortable providing constructive feedback on documentation.
Can anticipate next steps and keep projects moving.
