Reports To: Operations Manager / Event Director
Position Summary
The Zoom Host & Zoom Expert is responsible for managing all virtual meetings, trainings, webinars, coaching sessions, and online events to ensure a professional, seamless, and engaging experience for attendees. This role requires strong technical knowledge of Zoom, excellent communication skills, and the ability to troubleshoot issues quickly while supporting speakers, guests, and participants.
Key Responsibilities
Pre-Event Setup
* Schedule and create Zoo
* Configure registration pages, waiting rooms, breakout rooms, polls, and Q&A settings.
* Test audio, video, screen sharing, and presentation materials before each event.
* Coordinate with speakers and presenters to ensure readiness.
* Upload presentation materials and event resources as needed.
Event Management
* Open Zoom rooms prior to event start time.
* Admit attendees from the waiting room.
* Monitor participant engagement and attendance.
* Manage chat, Q&A, reactions, and participant interactions.
* Spotlight speakers and manage co-host permissions.
* Launch polls, surveys, and breakout rooms.
* Record meetings and ensure recordings are saved properly.
* Maintain a professional virtual environment throughout the event.
Technical Support
* Troubleshoot audio, video, screen-sharing, and connectivity issues.
* Provide real-time support to attendees and speakers.
* Resolve Zoom platform issues quickly to minimize disruptions.
* Assist presenters with screen sharing and presentation transitions.
Post-Event Responsibilities
* Download and organize event recordings.
* Generate attendance reports and participant analytics.
* Share recordings, replays, and follow-up materials.
* Document technical issues and recommend improvements.
* Maintain event records and Zoom account organization.
Qualifications
* Advanced knowledge of Zoo
* Experience hosting virtual events, webinars, or online trainings.
* Strong technical troubleshooting skills.
* Excellent communication and customer service skills.
* Ability to remain calm under pressure and solve problems quickly.
* Strong attention to detail and organizational skills.
* Experience with breakout rooms, polls, registrations, and webinar controls.
* Familiarity with Google Workspace, Microsoft Office, and CRM systems is a plus.
Preferred Experience
* 1+ years hosting Zoo
* Experience supporting executive leaders, coaches, trainers, or large online communities.
* Experience managing events with 100+ attendees preferred.
