As our Virtual Veterinary Receptionist, you will be working in the background (not talking with clients directly) to ensure a smooth operation for my veterinary practice. You’ll manage client inquiries, maintain our practice management software, and ensure every pet parent has a smooth, positive experience from their initial call to their follow-up visit.
Key Responsibilities
Client Communication
Respond to text messages for after hours appointments
Respond to
Collect essential pet information to assist in scheduling and triage.
Appointment Scheduling
Schedule, confirm, and reschedule appointments based on availability and urgency.
Send out reminders for upcoming visits, vaccinations, and check-ups.
Manage the clinic’s digital calendar to ensure no scheduling conflicts.
Record Management
Create and update client and patient profiles in our practice management software.
Maintain accurate, confidential records of client interactions and medical history details.
Organize and file digital documents such as lab results and referral notes.
Basic Triage & Client Education
Gather preliminary information on a pet’s condition and route urgent cases to the appropriate tea
Provide general guidance or pre-visit instructions (e.g., fasting before surgery).
Educate clients on our policies, payment options, and available services.
Billing & Payments (As Needed)
Process over-the-phone payments or deposits if authorized.
Send invoices to clients and follow up on unpaid balances.
Record payment transactions accurately and securely.
Follow-Up & Client Satisfaction
Contact clients after appointments to check on their pet’s well-being and address concerns.
Encourage client feedback and share testimonials or suggestions with the team.
Assist in addressing client complaints with empathy and problem-solving.
Coordination with On-Site Staff
Relay messages and essential details (lab results, urgent calls) to the veterinary team promptly.
Provide daily or real-time updates about schedules, cancellations, and urgent issues.
Communicate any critical information or paperwork needed for patient care.
Administrative Support
Generate daily or weekly reports on appointment attendance, no-shows, and call volume.
Identify common inquiries and recommend website or FAQ updates.
Assist with basic social media inquiries or direct clients to the correct platforms for more information.
