We are seeking an energetic virtual English and Spanish speaking Receptionist. In this virtual role, you will manage communications with clients and potential clients, and support administrative functions. PLEASE DO NOT APPLY UNLESS YOU HAVE EXPERIENCE ANSWERING HIGH VOLUME CALLS AND SPEAK ENGLISH AND SPANISH
Responsibilities
Greet visitors warmly and professionally, directing them appropriately
Manage multi-line phone systems, answer inquiries, and route calls efficiently
Maintain appointment calendars, schedule meetings, and hearings
Perform data entry and ensure completion of intake forms
Follow up with potential clients
Prepare fee agreements
Handle weekly billing
Assist with clerical duties including typing reports and and maintaining office files
Valued Skills/Qualifications:
Excellent Customer Service, Confidentiality and Discretion, Professionalism, Organization.
Highly professional verbal skills in both English and Spanish.
Able to contribute positively as part of a team, helping out with various tasks on behalf of tea
Must be organized, detail-oriented, self-motivated and able to work independently.
Proven experience in administrative support and as a receptionist with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Microsoft Teams
Strong organizational skills with the ability to prioritize tasks effectively
Experience with multi-line phone systems and data entry
Ability to handle confidential information discreetly and professionally.
Hours 8:30 am to 5:00 pm EST
