JOB OVERVIEW

We are seeking a highly organized, detail-oriented Virtual Home Care Operations Coordinator to assist with the complete client and caregiver lifecycle. This position plays a critical role in ensuring clients receive services quickly and compliantly while supporting caregivers, nurses, referral sources, and internal staff.

The ideal candidate is comfortable managing multiple tasks simultaneously, communicating with healthcare providers, gathering medical records, coordinating authorizations, onboarding caregivers, maintaining compliance records, and providing excellent customer service to clients and families.

This is not simply an administrative position. The Operations Coordinator serves as a key member of the Avida team and helps move clients through the entire process from referral to active services.

Essential Duties and Responsibilities



* Receive and process new client referrals.
* Verify Medicaid, MCO, Family Care, IRIS, iCare, and other payer eligibility.
* Create and maintain client records.
* Maintain referral tracking logs and intake dashboards.
* Communicate with referral sources regarding client status.
* Ensure documentation is complete prior to nursing assessment.
* Organize and upload documents into client files.
* Assist with preparation of prior authorization requests.
* Track authorization approval and expiration dates.
* Maintain authorization tracking spreadsheets.
* Notify management of upcoming renewals and required actions.
* Schedule nursing assessments and supervisory visits.
* Track required RN supervisory visits.
* Assist with care plan development distribution and updates.
* Ensure clinical documentation is received and filed timely.
* Communicate schedule updates to caregivers and clients.
* Audit records for completeness.
* Monitor expiring documents.
* Track required signatures.
* Maintain document logs and compliance reports.
* Assist in preparation for state surveys and audits.
* Answer incoming calls and emails.
* Maintain spreadsheets and tracking systems.
* Generate reports as requested.
* File and organize electronic records.
* Assist with special projects.
* Perform other duties assigned by management.

* Bilingual English/Spanish preferred but not required.
