JOB OVERVIEW

Please read this description in its entirety and follow the application instructions. We’re looking for a reliable, creative, and tech-savvy Virtual Executive Assistant to support the day-to-day operations of two real estate investment companies—one focused on commercial multifamily properties and the other on residential real estate projects. This role is perfect for someone who enjoys variety in their work, is highly organized, and can take initiative.
You’ll work directly with the owner/managing partner to manage communications, marketing systems, and backend operations. This is a part-time role (20 hours/week) with room to grow into a full-time position.

Key Responsibilities
Executive & Administrative Support
Manage the owner's calendar—schedule meetings, calls, and events across both businesses.
Monitor and respond to emails, flag urgent messages, and draft replies.
Set up and coordinate Zoo ---------- etings, take notes, and track follow-ups.

CRM & Automation (Go High Level)
Build and maintain automated workflows, landing pages, and campaigns inside Go High Level.
Set up tagging, triggers, and pipeline stages to support lead management.

Marketing & Creative Support
Design social media graphics, eBooks, presentations, and flyers using Canva or similar tools.
Support the execution of marketing campaigns including emails and opt-ins.
Assist in content creation and branding across digital platforms.

Website & Tech Management
Make content updates and edits on WordPress websites for both businesses.
Coordinate with external web developers for larger changes when needed.

Residential Real Estate Support
Assist with property underwriting using provided templates and guidelines.
Run sales and rental comps to support investment decisions.
Organize property information and support with light data analysis.

Tools You’ll Use
Go High Level (CRM, workflows, funnels)
Zapier (to connect tools and automate tasks)
Zoom (for virtual meetings)
WordPress (for website content updates)
Microsoft Excel (strong skills needed for formulas and data analysis)
Microsoft Office (Word, PowerPoint, Outlook)
Canva (or other design tools like Adobe Creative Suite)

What We’re Looking For
2+ years of experience in an executive assistant or virtual assistant role
Experience supporting a real estate or investment business is a big plus
Excellent written and verbal communication skills
Strong attention to detail and a proactive attitude
Comfortable learning new tools and working independently
Trustworthy, organized, and able to handle confidential information

Position Details
Part-Time: 20 hours/week to start
Flexible work hours (some overlap with EST business hours preferred)
Room to grow into a full-time role
