We're a fast-growing Toronto Financial Services brokerage catering to Ontario's Filipino community. About the Role:
We need a Virtual Executive Assistant who's more than organized. Someone creative, adaptable, and ready to build our next chapter with us. You'll work directly with our COO and leadership, turning ideas into action, creating world-class visuals and documents, and driving projects forward across the business. We are a small team now, but growing fast. This role evolves as we do. If you love learning, building systems, and watching a company transform around you, you'll thrive here.
Ideally, we would like this to be long-term. Not looking for temporary help, we want someone who wants to grow with us. Fair warning: we move fast, performance matters, and we need the right fit.
What You'll Do:
1. Meeting & Project Coordination
- Schedule and prep leadership meetings (agendas, notes, follow-ups)
- Track projects, deadlines, sales, progress through shared spreadsheets
2. Document Design & Communication
- Draft and design branded materials (one-pagers, SOPs, infographics, decks)
- Transform rough notes/voice memos into professional visuals
- Keep company documents organized and current
3. Creative Support
- Brainstorm and script presentations and internal podcast content
- Repurpose clips, case studies, trainings into shareable visuals
- Help support company campaigns and internal projects
4. Systems & Data Management
- Update spreadsheets and dashboards with accurate data
- Summarize weekly/monthly performance insights
- Find ways to automate or simplify repetitive tasks
5. Growth & Ownership
- Anticipate needs before they're voiced
- Improve how we work – new templates, better tools, smarter systems
- Jump in wherever needed
Who You Are
- Excellent written English: warm, clear communication
- Organized AND creative: you have the ability to turn messy ideas into clean, visual systems
- Strong design sense: Canva, Google Slides, or similar
- Fast mover, initiative-taker: don't wait to be told what's next
