Virtual Automation Specialist – Zapier, Manychat, CRM Integrations (Real Estate + AI Tools / RPA)

???? ABOUT THE ROLE - There is a full time & part time role available.
We’re a fast-moving real estate business based in NYC and Long Island, focused on multifamily sales, content-driven lead generation, and systemized client care. We're looking for a tech-savvy, systems-minded virtual assistant who can help us build out automation workflows and streamline operations across our platforms.
You’ll be the go-to implementer for Zapier, ClickUp, Follow Up Boss, and more. If you can connect APIs, build Smart Plans, and turn messy manual processes into seamless systems, this is for you.

RESPONSIBILITIES
• Build, test, and manage automation workflows using Zapier, Make, or other no-code tools
• Set up Smart Plans, task triggers, and auto-responders inside our CRM (Follow Up Boss or Lofty)
• Connect systems (ClickUp ? Google Calendar, Forms ? CRM, IDX ? Email, etc.)
• Create lead routing flows, tagging systems, email/SMS triggers, and more
• Troubleshoot and fix broken or inefficient automations
• Build clear SOPs or Loom walkthroughs for repeatable processes
• Occasionally assist with tech-related admin (e.g. onboarding forms, client portals)

TOOLS YOU’LL BE USING
• Zapier, Follow Up Boss, Lofty
• ClickUp, Google Workspace
• AI integrations (OpenAI/ChatGPT, Voice agents, etc.)
• Typeform/Jotform, DocuSign
• Bonus if you’ve worked with ManyChat or Instagram DM automation

• A problem-solver: You don’t wait to be told what to do, you figure things out.
• API + webhook literate: You don’t need to be a developer, but you can read docs and implement.
• Self-managed: No micromanaging, just accountability and results.
• Fluent in English and able to communicate ideas clearly
• Obsessed with making things faster, smoother, and more efficient

BONUS POINTS FOR...
• Experience in real estate automations (lead nurturing, drip campaigns, showing schedulers)
• Experience with CRM logic or AI calling tools
• A portfolio of automations or system builds (video/written)
