As we continue to expand, we are seeking a detail-oriented, highly organized Virtual Assistant - Transaction Coordinator to join our remote team and support our increasing transaction volume.
Job Description
As a Virtual Assistant Transaction Coordinator, you will play a vital role in supporting our real estate operations. You’ll be responsible for overseeing and managing real estate transactions, ensuring all documents are complete and deadlines are met. The ideal candidate is proactive, communicative, and thrives in a fast-paced virtual environment.
Responsibilities
• Manage and coordinate real estate transactions from contract to close
• Track deadlines and ensure timely completion of paperwork
• Communicate with buyers, sellers, agents, escrow, title, and lenders
• Ensure compliance with regulatory and brokerage requirements
• Maintain accurate transaction records in CRM or transaction software
• Prepare and review contracts, disclosures, and addenda
• Provide administrative support as needed to the real estate team
Qualifications
• Minimum 2 years of experience as a Transaction Coordinator or in a similar administrative real estate role
• Must have managed or completed over 75 real estate transactions in the past two years
• Candidates with prior experience supporting teams on the U.S. West Coast (Pacific Time) are strongly preferred
• Strong knowledge of real estate processes, documentation, and terminology
• Excellent verbal and written communication skills in English
• High attention to detail, excellent organizational and time-management skills
• Ability to multitask and work independently in a fast-paced, remote environment
• Proficiency with tools such as DocuSign, Dotloop, Skyslope, and CRMs (e.g., CINC, KVCore, or similar)
• Reliable internet connection, backup power source, and access to a spare computer or secondary internet option
Preferred Qualifications (Not Required)
• Experience working with U.S.-based real estate teams
• Knowledge of state-specific real estate documentation and timelines
• Certification in real estate transaction coordination (a plus)
Working Conditions
• Work directly with the Michelle Minik PLLC – Team Minik
• Full-time position (40 hours per week)
• Work Schedule from Thursday to Monday (Tue-Wed Off)
• Remote work setup
• Required to work night shifts (aligned with Arizona U.S. time zone)
