About Us
We are a high-performing real estate team specializing in the Toronto, Etobicoke, and Kingsway markets. Our business is built on strong client relationships, exceptional marketing, and delivering real results. We are looking for a proactive and creative Virtual Assistant with real estate industry experience to help us expand our marketing reach, streamline operations, and drive business growth.
Key Responsibilities
**Marketing & Content Creation**
* Plan, create, and schedule engaging content (visual + written) for Instagram,
* Manage community engagement (comments, messages, shares) to grow brand awareness.
* Design and write monthly newsletters with valuable market updates, listings, and client-focused content.
* Create marketing calendars and ensure campaigns are executed on time.
* Produce marketing materials (feature sheets, postcards, social graphics, etc.) for listings and farming initiatives.
**CRM & Database Management**
* Maintain and update contact database.
* Implement client touchpoint campaigns (birthdays, holidays, home anniversaries, etc.).
* Track leads, inquiries, and follow-ups.
* Build targeted lead lists and implement automated nurture campaigns.
**YouTube & Video Marketing**
* Assist in planning, editing, and posting YouTube content.
* Optimize titles, descriptions, and keywords for maximum reach.
* Track video performance analytics.
**Listing & Transaction Support**
* Assist with MLS listing write-ups, uploads, and marketing campaigns (Just Listed/Just Sold).
* Coordinate with stagers, photographers, and videographers.
* Prepare and organize paperwork; track deadlines and conditions.
* Liaise with clients, lawyers, mortgage brokers, and other agents as needed.
**Farming & Community Engagement**
* Assist with community farming strategies (mailers, postcards, local events, sponsorships, digital campaigns).
* Create community-based content (market updates, local spotlights, “Living in Toronto/Etobicoke” features).
* Support planning and promotion of client and community events.
**Advertising & Analytics**
* Support paid ad campaigns on
* Monitor ad performance and optimize for ROI.
* Track and report key performance indicators (social engagement, CRM activity, lead conversions).
* Suggest improvements to strategy based on performance data.
**AI & Marketing Innovation**
* Use AI tools to support content creation, automation, and analytics.
* Research and recommend new technologies to improve efficiency and marketing performance.
Qualifications
* Proven experience as a Virtual Assistant, Marketing Coordinator, or similar role in the **Canadian real estate market**.
* Strong understanding of real estate marketing strategies, including farming, social media, and CRM best practices.
* Excellent written and verbal communication skills.
* Creative eye for design and ability to produce visual content (Canva, Adobe, or similar tools).
* Familiarity with real estate CRMs (Follow Up Boss, or similar).
* Experience with YouTube channel/content management.
* Experience with digital advertising
* Tech-savvy and comfortable using AI tools for efficiency.
* Highly organized, detail-oriented, and a self-starter who can work independently.
