JOB OVERVIEW

OVERVIEW:
We are looking for a highly organized and experienced Virtual Assistant / Project Manager with a mandatory background working in a digital marketing. The ideal candidate will manage client projects, coordinate internal teams, oversee deadlines, and ensure smooth day-to-day operations across multiple marketing initiatives. This role requires someone who thrives in a fast-paced agency environment and understands how digital marketing operates.

RESPONSIBILITIES:
• Manage multiple client projects from kickoff through completion.
• Coordinate tasks between internal tea ---------- mbers, freelancers, and external vendors.
• Track project timelines, deadlines, and deliverables.
• Communicate with clients regarding project updates and follow-ups.
• Schedule meetings, prepare agendas, and document action items.
• Assist with day-to-day administrative and operational tasks.
• Organize project documentation, SOPs, and workflows.
• Monitor project progress and proactively identify potential bottlenecks.
• Ensure deliverables are completed accurately and on time.
• Support leadership with project management and operational coordination.

REQUIREMENTS:
• Previous experience working in a digital marketing agency is REQUIRED.
• Previous experience as a Virtual Assistant, Project Manager, Account Manager, or Operations Coordinator.
• Strong understanding of digital marketing agency workflows and client management.
• Excellent project management and organizational skills.
• Strong written and verbal English communication skills.
• Ability to manage multiple clients and projects simultaneously.
• Experience working with remote teams.
• Proficiency with ClickUp, Asana, ---------- , Trello, Notion, or similar project management tools.
• Proficiency with Google Workspace (Docs, Sheets, Gmail, Calendar).
• Highly organized, proactive, detail-oriented, and dependable.
• Strong problem-solving skills and ability to work independently.

PREFERRED EXPERIENCE:
• Experience managing SEO, PPC, Paid Media, Social Media, Content Marketing, Branding, or Website Development projects.
• Experience coordinating designers, developers, copywriters, media buyers, and marketing specialists.
• Familiarity with CRM systems and marketing automation platforms.

IDEAL CANDIDATE:
• Has hands-on experience working in a digital marketing agency (non-negotiable).
• Understands agency operations, client communication, and campaign execution.
• Can confidently manage multiple client accounts and competing priorities.
• Proactive, organized, and capable of driving projects with minimal supervision.
• Thrives in a fast-paced, deadline-driven agency environment.
