We are looking for a highly organized, proactive, and detail-oriented Virtual Assistant to support our Operations Manager with day-to-day coordination, scheduling, communication, and administrative tasks.
This role is ideal for someone who can take ownership of their tasks, stay on top of follow-ups, keep projects moving, and help make sure nothing falls through the cracks. We need someone who communicates clearly, follows through consistently, and is comfortable helping coordinate several moving parts at once.
Responsibilities:
* Assist the Operations Manager with organizing and tracking to-do lists, projects, and required documents
* Coordinate schedules and communicate with customers regarding appointments, inspections, and project updates
* Help answer customer questions related to insurance claims and project coordination
* Make and answer phone calls with customers professionally and confidently
* Coordinate with vendors, subcontractors, and suppliers as needed
* Follow up with customers, adjusters, vendors, and tea
* Help maintain accurate job files, notes, and project documentation
* Update spreadsheets, CRM systems, and project trackers as needed
* Assist with collecting and organizing documents needed for jobs and insurance claims
* Help maintain clear communication across projects to avoid delays or miscommunication
* Support the Operations Manager with general administrative and operational tasks as needed
* Take ownership of assigned tasks and make sure they are followed through from start to finish
Qualifications:
* Previous experience in administrative support, operations support, customer service, project coordination, or construction/restoration support preferred
* Excellent written and verbal English communication skills
* Must have very strong attention to detail and the ability to stay organized in a fast-paced environment
* Strong communication skills are extremely important for this role
* Must be proactive, dependable, and able to follow instructions carefully
* Comfortable making and receiving phone calls
* Ability to multitask and follow through on tasks efficiently
* Strong organizational and follow-up skills
* Able to take ownership of tasks, ask questions when needed, and keep things moving without constant reminders
* Experience working remotely is a plus
* Experience with CRMs, Google Workspace, spreadsheets, or project management tools is a plus
* Construction, restoration, insurance, or home services experience is a bonus but not required
