Virtual Assistant, Operations Expert for Career Coaching & Speaking Practice
Remote | Philippines-Based | Part-Time to Full-Time
Most VA job posts want someone who is good at following instructions.
This one is a bit different.
Yes, there are tasks. Research to do. Resumes to reformat. Asana and CRM to manage. Outreach
But the person who thrives here isn't just executing a checklist, I need someone who looks at a half-finished process and, excitedly, thinks "I can make this better." Someone who catches a problem before being asked. Someone who takes ownership and runs with it.
If that's how you work, keep reading.
About the Role
You'll work directly with a U.S.-based career coach and keynote speaker — a one-person practice with a growing pipeline and no signs of slowing down. The work is varied and won't repeat itself. One week, you're processing 50+ post-event survey responses and running segmented outreach. The next, you're reformatting a resume that could change someone's career trajectory, or finalizing content for an upcoming speaking engagement.
Every workflow has a Loom walkthrough, a custom AI prompt, or a written doc behind it. You'll never be guessing what "done" looks like. But documentation is a starting point — once you know a process, you're expected to make it better.
This starts at 20 hours a week. The path to 40 hours is there, and it's based on one thing: trust earned through consistent work, communication, and process improvement.
What You'll Actually Do
Resume & Career Documents
Reformat and polish resumes in Microsoft Word using custom AI prompts
Convert resumes into LinkedIn summaries, cover letters, and other career documents
Use AI tools to produce clean, human-sounding output — not raw generated text dropped into a template
Speaking & Event Operations
Process post-event
Conduct LinkedIn outreach to event attendees using provided templates
Track pre- and post-talk logistics in Asana
Content & Social
Schedule and publish content on LinkedIn and other platforms
Take 70%-complete drafts and get them ready to publish — close the gaps, fix the formatting, make it land
Business Development Support
Support B2B outreach to wealth management firms and companies going through layoffs
Help maintain outreach sequences and track pipeline activity
Operations & Reporting
Manage Asana daily: update task statuses, flag what needs attention, keep dashboards current
Send daily and weekly activity reports — the owner should always know what's moving
Who You Are
You write English at a professional level and you've actually worked with AI tools — meaning you know how to take generated output and make it sound like a person wrote it.
You're organized in a way that shows up in your work, not just how you describe yourself. You finish things. When something's stuck, you say so before it becomes a problem. When a process is unclear, you ask one sharp question and move forward.
You're comfortable working async. You don't need daily check-ins to stay on track.
Required:
Comfortable learning from Loom videos and async documentation
Professional written English
Asana or similar project management experience
Real experience with Claude (my preferred AI of choice) — with the judgment to refine output, not just use it
Google Suite and Microsoft Office proficiency for document formatting
Experience managing LinkedIn or other social platforms
Reliable high-speed internet and a dedicated home office setup
Bonus:
Background in career coaching, staffing, or HR
B2B outreach or lead generation experience
Experience with content calendars or social scheduling tools
Compensation & Schedule
Hourly: $8–$10 USD
Hours: 20 hrs/week to start, path to 40 hrs
Schedule: Flexible async with 2–3 hours daily overlap at 2:00 PM Pacific (5:00 AM Philippine Time)
Start: ASAP
Before You Apply
Know you won't be thrown in without context. There are Loom walkthroughs, documented workflows, and AI prompts for the tasks that need them. The systems are there and being updated.
I welcome any and all recommendations, tools, hacks, and automations. I want both of us to work smarter, not just harder.
If you want a role where you wait for instructions, I don’t think this will be a good fit.
If you want to have input and ownership of the day to day, grow into a bigger role, and become a key part of growth and strategy, please apply!
