Virtual Assistant / Operations Coordinator

Trinity Design & Construct | Remote Position

Trinity Design & Construct is looking for an organised and proactive Virtual Assistant to help manage the day-to-day administration and operational systems of our growing residential building company.

This role will support company director Joshua Jay and help keep projects, finances, communications and internal systems running smoothly.

About the Role

You will become an integral part of our team, managing administrative tasks, project systems and client communication through Buildertrend and other business platforms.

Key Responsibilities

Project Administration

* Update and prioritise tasks within Buildertrend
* Monitor project schedules and deadlines
* Maintain project records and documentation
* Assist with job costing updates

Financial Administration

* Allocate project bills
* Generate invoices through Buildertrend
* Create and issue purchase orders
* Assist with budget tracking and cost reporting
* Approve and allocate timesheet information

Client & Team Communication

* Monitor and respond to emails
* Prepare client updates
* Maintain communication records
* Assist with meeting preparation and follow-up actions

Reporting & Systems

* Maintain daily logs and reporting
* Create process documentation and SOPs
* Track recurring tasks and company KPIs
* Support workflow improvements and automation initiatives

Essential Skills

* Previous experience as a Virtual Assistant, Office Manager or Operations Coordinator
* Strong administrative and organisational skills
* Excellent written and verbal English communication
* High attention to detail
* Strong time management abilities
* Ability to work independently
* Experience with Buildertrend

Preferred

* Experience supporting construction, design or trades businesses
* Knowledge of invoicing, purchase orders and job costing
* Experience with Google Workspace and Microsoft Office
