About Us

Tea Bazaar is a fast-growing specialty tea company based in San Diego, California. We operate retail stores, farmers markets, wholesale accounts, and an e-commerce business. Our company focuses on premium loose-leaf teas, strong operations, and exceptional customer experiences.

We are looking for a highly organized Virtual Assistant with strong inventory management experience to support daily operations and help keep our inventory, purchasing, and internal systems running smoothly.

This role is ideal for someone who enjoys working with numbers, systems, and operational processes and who is comfortable communicating with a U.S.-based team.

Key Responsibilities:
Inventory Management
Maintain and update inventory levels across multiple sales channels
Track incoming shipments and update stock quantities
Monitor low stock levels and notify the team when reorders are needed
Reconcile inventory discrepancies
Help manage SKU lists and product data
Operations Support
Assist with purchase order tracking and supplier communication
Maintain inventory spreadsheets and operational dashboards
Organize documentation related to shipments and production
Track order status and help coordinate logistics updates
Software & Systems
Use Thrive POS to monitor product sales and inventory
Maintain accurate data inside POS and spreadsheets
Assist with product setup and system updates
Reporting
Generate inventory and sales reports
Identify slow-moving or low stock products
Assist with forecasting and inventory planning
Administrative Support
Maintain organized digital files
Assist with operational tasks and internal documentation
Provide general virtual assistant support to the operations team

Requirements
2+ years experience in inventory management
Strong experience using POS systems (experience with Thrive POS preferred)
Advanced Google Sheets / Excel skills
Excellent attention to detail
Strong organizational skills
Reliable internet connection
Comfortable working with U.S. business hours overlap
Strong written English communication

Preferred Experience

Experience supporting retail or e-commerce businesses
Experience with inventory forecasting
Experience tracking shipments and purchase orders
Familiarity with operations or logistics workflows
