Virtual Assistant (HubSpot, Zapier, Asana & Dropbox Setup for Design Studio)

**About Us**

Amara Collective is a design studio based in Australia. We create branding, design, and websites for purpose-led businesses.
We’re currently refining our systems and need a detail-oriented Virtual Assistant who can help set up and connect our tools: **HubSpot, Asana, Dropbox, QuickBooks, and Zapier.**

**Role Overview**

You’ll be responsible for setting up and testing our full website project workflow — from client enquiry to project handover.
This is a **project-based role (approx. 10–15 hours total)** with potential for ongoing system management or admin work.

**Tasks Include:**

* Set up our **HubSpot CRM pipeline**, meeting links, and automations
* Connect **HubSpot ? Asana ? Dropbox ? QuickBooks** using **Zapier** (free plan)
* Create and test **Dropbox folder templates** and File Requests
* Build **Asana project templates** for website projects
* Test the workflow from enquiry ? deposit ? project folder creation ? completion
* Write a short **setup guide** documenting all steps and automations

**Requirements:**

? Proven experience using **HubSpot CRM**
? Strong understanding of **Zapier** automations
? Confident with **Asana** and **Dropbox** workflows
? Familiar with **QuickBooks Online** or similar invoicing systems
? Strong written and spoken English
? Highly organised, detail-oriented, and proactive

* Experience working with creative studios or marketing agencies
* Familiarity with WordPress or Shopify (not essential)
