Relevant backgrounds include HVAC contractors, plumbing companies, electrical service providers, property and facility maintenance firms, energy installation businesses, and similar service-based operations.
About the Position:
We are looking for a proactive and detail-oriented Virtual Assistant to support our operational and administrative functions.
This role is primarily focused on backend operations, document management, process coordination, and maintaining organized internal systems. While occasional customer-facing responsibilities may arise, the majority of the work centers on administrative support and operational efficiency.

Qualifications
- Previous experience supporting HVAC, field-service, or trade-based businesses is REQUIRED
- Strong English communication skills, both written and verbal
- Experience as a Virtual Assistant, Administrative Assistant, Operations Coordinator, or similar support role
- Familiarity with permits, rebate programs, compliance documentation, or service-related paperwork is a plus
- Exceptional attention to detail and commitment to accuracy
- Strong organizational, time management, and multitasking abilities
- Comfortable learning new software, systems, and operational processes
Key Responsibilities:
- Process and manage warranty registrations for HVAC and related equipment
- Prepare, organize, and submit rebate applications for qualifying energy-efficient projects
- Maintain accurate digital records, databases, and internal tracking systems
- Assist leadership with workflow improvements and operational process enhancements
- Create, schedule, and manage social media content
- Generate and send invoices following completed services and installations
- Provide administrative assistance and basic customer support as needed
Work Schedule:
- Full-time remote role
- 8-hour workday, 5 days per week (US Time Zone)
