JOB OVERVIEW

We are looking for a Virtual Assistant (HR * Operations) who ensures accurate records, proper documentation, and smooth administrative operations. You maintain system hygiene, data accuracy, and dependable HR support.

Key Responsibilities & Accountability

1. Recruitment & Candidate Management

- Assist in sourcing and posting job ads
- Coordinate interviews and candidate communication
- Maintain updated applicant records
- Interview schedules must be error-free and properly logged

2. HR Administration & Employee Records

- Maintain employee files, documents, and contracts
- Track attendance, leaves, and medical leaves
- Ensure HR data is accurate and complete

ACCOUNTABILITY:

- Zero missing files
- 100?curacy on employee data and logs
- Weekly HR records review completed without delay

3. Payroll & Compensation Support

- Prepare and issue monthly payslips
- Ensure payroll data is correct and timely
- Update salary adjustments and changes

ACCOUNTABILITY:

- Payslips must be released on or before the scheduled date.
- 100?curacy in payslip computation/documentation
- No delays caused by incomplete data

4. Documentation & Systems Management

- Maintain Notion HR dashboards and trackers
- Ensure all documents are tagged and filed properly
- Keep HR dashboards up-to-date

ACCOUNTABILITY:

- Notion must remain updated daily
- All documents must follow folder and naming conventions
- Zero backlog of files or pending updates

Working Hours

Monday to Friday
9:00 AM – 6:00 PM (PH time)
Approximately ~44 hours per week

Salary

PHP 24,000 basic monthly + KPI-based performance bonus

Requirements

- Minimum 2 years HR experience
- Previous Experience with HR & Operations
- Experience handling HR documentation and employee records
- Familiar with payroll coordination and payslip preparation
- Comfortable issuing warning letters and managing exits
- Highly organized and process-driven
- Strong written and spoken English
- Detail-oriented with good follow-through
- Able to work independently in a remote setup

**Software Requirements**

- Notion (Expert Level)
- Google Drive (Google Cloud, etc)
