JOB OVERVIEW

About the Role
We are a busy medical practice seeking a highly intelligent and self-directed Virtual Assistant to support our physician executive. This is not a task-entry role - we need someone who takes full ownership of problems, finds solutions independently, and delivers results fast + knowledge with malpractice insurance

Key Responsibilities

Research & Problem Solving
• Research vendors, service providers, and companies on behalf of the physician (e.g., malpractice insurance carriers, AI/technology tools, documentation solutions)
• Compare pricing, terms, and options - then present clear, organized findings
• Follow up on social media or video content referencing tools or companies of interest and gather full details

Administrative & Calendar Support
• Manage and organize the physician's calendar and schedule
• Handle email inbox tasks including locating, organizing, and routing information to the appropriate tea ---------- mbers
Medical & Insurance Coordination
• Access the physician's email to identify and compile a list of medical insurance companies that have made prior contact
• Deliver insurance contact information to the medical billing team
• Coordinate with insurance companies on behalf of the billing team as needed

Internal Task Management & Oversight
• Follow up with internal tea ---------- mbers to ensure delegated tasks are completed on time
• Escalate or resolve bottlenecks proactively without waiting to be asked
• Monitor ongoing projects (e.g., process documentation work) and report on progress

Technology & AI Research
• Track emerging AI tools and software relevant to the practice's operations
• Research specific tools or platforms identified by the physician and deliver actionable summaries
• Connect research findings with the right internal tea ---------- mbers to move projects forward

What We're Looking For
• Exceptional problem-solving ability — you find a way, not an excuse
• Fast turnaround: tasks that should take 3 days should not take 3 months
• Strong organizational skills and the ability to juggle multiple priorities
• Comfortable working independently with minimal supervision
• Confident communicator who asks smart, targeted questions — not someone who passes problems back
• Experience with email management, research, and coordinating across teams
• Familiarity with medical or healthcare administration is a plus, but not required
• English fluency is helpful but not required — intelligence and execution matter most

• This is not a data-entry or scheduling-only role
• You will not be micromanaged — but you will be held to a high standard
